Operations Specialist
We are seeking a detail-oriented and proactive Operations Specialist to join our team. In this pivotal role, you will help optimize internal workflows, support customer success initiatives, and enhance operational efficiency across the organization. Your contributions will directly impact our ability to deliver seamless services and maintain strong client relationships.
What You'll do:
- Manage setup and ongoing maintenance of third-party data uploads, including 401(k), Simple IRA contributions, ACA filings, workers’ compensation premiums, and other partner files.
- Collaborate with vendors to troubleshoot upload errors and ensure accurate and timely data transmission.
- Communicate effectively with clients via phone and email to collect necessary data, resolve issues, and provide updates.
- Support platform and service migrations, including system configuration, client outreach, and training to ensure smooth transitions.
- Develop and maintain comprehensive documentation, standard operating procedures (SOPs), checklists, and communication templates.
- Compile and analyze data for internal reporting and process improvement initiatives.
- Perform additional duties as required to support ongoing operational projects and organizational goals.
What You Bring to the Table:
- Minimum of 1 year of experience in payroll processing, workers’ compensation data entry, 401(k) uploads, or related fields.
- Strong analytical, problem-solving, and critical thinking skills.
- Demonstrated adaptability and resourcefulness in dynamic environments.
- Highly organized with a methodical approach to tasks and meeting deadlines.
- Proficient in Microsoft Office Suite (Word, Excel, PowerPoint).
- Excellent written and verbal communication skills.
- Ability to work independently and collaboratively within a team to achieve objectives.
Where You'll Work:
- This is a fully remote position requiring a home office or other quiet space free of distractions
- All necessary equipment for the position will be provided by Payentry
