Community Programs Coordinator - Full Time

Tuesday to Saturday I 9:00am-5:00pm I 37.5 hours per week

 

Reporting to the Director of Community Services, the Community Program Coordinator is responsible for the development, implementation, and coordination of the Continued Companionship suite of programs.  These programs include the Pet Safekeeping Program, Emergency Boarding Program, Seniors program, Rosco’s Keep Them Home program, and the Pet Food Bank. This position also oversees the execution and maintenance of our Community Clinics in partnership with veterinary clinics and our internal animal health team.

Duties:

  • Lead the coordination and delivery of Calgary Humane Society (CHS) community support programs and services, ensuring accessible and high-quality client experiences.
  • Participate in the development of community outreach programs with the strategic goal of promoting the well-being of companion animals in Calgary and strengthening the human-animal bond.
  • Develop and document procedures, policies, and practices related to CHS outreach programs to ensure consistency and excellence.
  • Execute and support the coordination of community support programs offered by the Society. This includes: reviewing applications to determine eligibility, booking and coordinating appointments, administrative documentation, and schedule coordination with the veterinary team and other operational teams as required.
  • Provide compassionate and non-judgemental service to clients seeking support and coordinate with the Admissions team to ensure appropriate support is offered in a timely manner, maintaining appointment systems and waitlists as needed.
  • Collaborate with the Fund Development team to support funding initiatives, including providing client success stories and program impact testimonials.
  • Host shelter tours and deliver presentations to partnering organizations to build relationships, promote programs, and increase awareness of available services.
  • Work collaboratively with external agencies and partners to ensure the goals of the outreach programs are met.
  • Create and maintain detailed Excel spreadsheets and statistical reports to track program use, expansion trends, and community needs.
  • Analyze data to evaluate program effectiveness and support the strategic development of new or expanded services.
  • Timely compilation of relevant statistics for all developed community programs and performing statistical analyses to enhance outreach opportunities.
  • Support other operational teams with administrative tasks related to the Society’s outreach programs.
  • Provide support in other areas of the shelter when required, including assistance in Animal Care.
  • Duties and responsibilities will evolve as programs are created.
  • Other duties as assigned.

Position Requirements: 

Education & Experience

  • Post-secondary education in social work, community development, human services, or a related field preferred; diploma or degree an asset.
  • Minimum high school diploma or equivalent required.
  • Minimum 2 years of experience in program coordination or community outreach preferred.
  • Experience in customer service and program facilitation.
  • Background in animal welfare or veterinary settings is an asset.
  • Veterinary Office Assistant (VOA), Veterinary Medical Reception (VMR), or Veterinary Technical Assistant (VTA) preferred. 
  • Social work background considered an asset.
  • Experience working with a variety of animals (dogs, cats, small animals) is beneficial.
Skills & Abilities
  • Strong ability to work independently and manage multiple priorities in a fast-paced environment
  • Proven interpersonal and communication skills, both verbal and written (a written assessment may be included in the hiring process).
  • Strong relationship-building skills across diverse demographics and sectors.
  • Proficient in Microsoft Office, especially Excel; capable of creating and managing spreadsheets, databases, and statistical reports.
  • Excellent organizational skills and attention to detail.
  • Able to work collaboratively as part of a team or independently as needed.
  • Genuine concern for animal welfare and comfort handling a variety of species, including but not limited to: cats, dogs, rabbits, birds, rodents, reptiles, and other species.
Additional Requirements
  • Must be able to attend shifts onsite.
  • Flexibility to work occasional overtime.
  • Physically able to lift/move up to 40 lbs and perform tasks involving bending, squatting, reaching, and repetitive motion.
  • Successful candidate will be required to provide a current criminal record check at their own expense.
