Executive Administrative & Communications Specialist | Full Time Nashville, TN
Administrative Responsibilities

Plan, schedule, and coordinate meetings, appointments, and conference calls.

Manage all aspects of general office operations, including vendor relations, invoicing, and inventory control.

Interpret and apply organizational policies, procedures, and regulations.

Handle complex travel arrangements for the Register of Deeds and senior leadership, including applications and approvals.

Prepare and deliver concise reports, project updates, and executive recommendations.

Draft directives, policies, and high-level correspondence for executive review.

Maintain confidential records, ensuring accuracy, compliance, and timely information sharing.

Oversee and implement programs, initiatives, and special projects from start to finish.

Manage HR functions such as onboarding, offboarding, FMLA, disability processes, and employee transitions.

Coordinate catering and food service for in-office and special events.

Represent the office at Metro and industry-related meetings, training sessions, and policy briefings.
Communications Responsibilities

Lead media relations, including writing press releases, assembling press kits, pitching stories, and fielding media inquiries.

Create and distribute e-blasts, op-eds, news stories, and executive bios for various platforms.

Oversee content development for the organization’s website, brochures, and advertising campaigns.

Manage social media presence (Facebook, Twitter, Open Door), including content creation, curation, and posting.

Design and deliver impactful PowerPoint presentations and promotional materials.

Coordinate photography sessions, including scheduling, locations, and vendor management.

Handle community relations, event planning, and outreach logistics.

Manage annual holiday card campaigns, including mailing list updates and distribution.

Compile communications reports and recommendations to track performance and outcomes.
Preferred Knowledge and Education

Bachelor’s degree in Communications, Business Administration, or related field.

Project management experience with proven ability to oversee complex initiatives.

Media liaison experience and strong background in community engagement.

Proficiency with Canva, Microsoft Office Suite (Word, Excel, PowerPoint, Outlook), and Photoshop.

Minimum Qualifications
A combination of education and executive-level administrative support experience that equips the candidate to excel in this role. A bachelor’s degree plus extensive experience supporting senior leadership is strongly preferred. Expert-level proficiency in Microsoft Office Suite is required.
Salary Range
$57,000 – $74,000 Annually (depending on qualifications and experience)
