Your new role
The Contract Administration Lead – Prime Contract & ESP is responsible for the complete post-award administration and commercial management of Engineering Service Provider (ESP) contracts within a major mining project in an ePCM environment.
This role focuses on ensuring that all engineering services contracts—including detailed engineering, design studies, technical consulting, geotechnical services, environmental services, surveying, project management support, and specialty technical providers—are administered efficiently, compliantly, and in alignment with Owner governance, contractual terms, and project execution requirements.
Your key responsibilities:
1. Post-Award Contract Administration
• Administer the EPCM contract & ESP contracts from award to closeout.
• Lead post-award kickoff meetings and establish reporting protocols.
• Track deliverables and ensure compliance with contract terms (warranties, guarantees, securities, insurance).
• Review and approve submittals and progress reports.
2. Change Management & Commercial Controls
• Lead change management for the EPCM contract & ESP contracts.
• Review and evaluate Change Requests, validate progress claims, and coordinate contract amendments with Project Controls and EPCM teams.
• Ensure ERP accuracy and proactively identify commercial risks.
3. ESP Performance Oversight & Issue Resolution
• Collaborate with Engineering leadership to ensure ESPs meet project priorities and technical requirements.
• Address coordination gaps, delays, quality issues, or non-compliance, including issuing formal notices and corrective actions.
• Support dispute avoidance and participate in commercial discussions with ESPs.
• Align with EPCM engineering managers on discipline interfaces, document workflows, and deliverable coordination.
4. Interface Management
• Act as the primary commercial lead for all ESP contract matters.
• Coordinate with Engineering, EPCM, Project Controls, Finance/AP, and Legal to ensure alignment on deliverables, progress, costs, invoicing, and contract interpretation.
• Participate in engineering coordination meetings, schedule reviews, and contract status updates.
5. Invoicing & Progress Verification
• Review and validate ESP invoices for compliance with contract terms, approved hours, milestones, and commercial conditions.
• Coordinate with Engineering and Project Controls to confirm progress and man-hour burn rates.
• Resolve invoice discrepancies and disputes in a timely manner.
6. Governance, Compliance & Documentation
• Ensure all ESP activities adhere to internal procurement governance, contract policies, and EPCM standards.
• Maintain contract logs (commitments, change orders, risks, correspondence, deliverables).
• Ensure proper filing and traceability in alignment with internal audit and project documentation requirements.
• Support internal audits, project closeout preparation, and warranty tracking for engineering deliverables.
What you'll need to succeed
• Degree in Supply Chain, Business, Engineering, Law, or related field.
• 15+ years of experience in contract administration, ideally with a focus on engineering or consultancy services.
• Strong experience in EPCM or major capital project environments, preferably in mining or heavy industry.
• Certifications such as SCMP, NCMA, PMP, AGCA, or equivalent considered an asset.
• Experience with SAP, Aconex or similar project systems.
• Bilingualism required.
