The Training Clerk supports the training team in planning, administrative coordination, and monitoring skills development activities. They are responsible for supporting users of the training management system (employees and external partners) and contribute directly to providing an effective professional experience for employees and trainers while ensuring the quality and accuracy of databases and internal processes. The incumbent will work a 5-2 work schedule, teleworking, with occasional visits to the Windfall site.
Duties and responsibilities
1. User service/support
• Creating users in the training management software;
• Respond to support requests using the training management software;
• Improve processes and keep the system up to date.
2. Administrative support for training
• Prepare, organize, and file training-related documents (attendance lists, certificates, course outlines, internal forms);
• Follow up on emails and inquiries from employees, trainers, and external partners;
• Update employee files in the training management software (Paélo).
3. Logistical coordination
• Register employees for internal and external training courses;
• Organize rooms, equipment, virtual links, and technical requirements;
• Prepare and send out invitations or reminders.
4. Training follow-up
• Ensure compliance of documents and competency cards;
• Help collect and compile training statistics.
5. Document management
• File, update, and archive training documents and procedures.
6. Internal and external collaboration
• Collaborate with trainers and the training coordinator to prepare content, perform administrative follow-ups, and improve processes.
• Communicate with training partners, suppliers, consultants, or educational institutions.
Required qualifications
• High school diploma or vocational training certificate in administration, office automation, or a related field ;
• Experience in an administrative role (an asset);
• Knowledge of Microsoft 365 tools;
• Knowledge of training or HR management processes (an asset);
• Bilingualism (an asset);
• Must be able to travel to the mine site as needed.
Basic skills
• Excellent organization and priority management skills
• Administrative rigor and attention to detail;
• Proficiency with training management systems and platforms (LMS, shared files, internal tools);
• Excellent written and verbal communication skills;
• Autonomy (teleworking).
