Complete Description: 


Answering phones and directing callers to the appropriate program area.

Ability to use a computer, email system and have knowledge of general office equipment.

Keep a call log to track the number of calls received and what program area they are received for.  

Prepare a monthly report of all calls and walk ins and provide to Supervisor no later than the 3rd of each month.  

Send a weekly call list to Supervisor documenting the number of calls received

Complete ACCESS Interview spreadsheet and email to appropriate recipients twice daily at 12:00 pm and 4:30 pm

Prepare FedEx envelope for mail being sent to Tallahassee

Create new employee ID’s and ensure they are mailed timely

Receive all packages from FedEx, UPS, Office Depot, Staples and any other carrier.  Determine who they belong to, email the person to notify that the package has been received and is available in Suite 1129.

Assist with employees receiving paper paychecks on a biweekly basis.  Ensure they are kept secured and only provided to the employee or identified representative

Complete any other tasks requested by Supervisor, Communications Director and/or Regional Managing Director.

Responsible for ensuring all hard copy documents are complete and filed correctly. Responsible for alerts to employees, liaisons and supervisors advising them of any missing documents from the personnel files.

Knowledge of the use of a multi-line phone system.

Knowledge of the use of general office equipment

Knowledge of working in a fast-paced work environment.

Skilled in operating a multi-line PC console phone system

Monday through Friday 8am to 5pm
