RESPONSIBILITIES

The Scheduler will provide scheduling support to departments to ensure delivery of YWCA Hamilton 24/7 services and operations. The Scheduler will work closely with Department Leaders in order to provide scheduling support to employees on days, nights, weekends, and statutory holidays.


KEY RESPONSIBILITIES: 

·       Maintains base schedule for staff with consistent schedules;

·       Prepares schedules for posting by allocating staff coverage for known vacancies such as vacations, leaves of absence etc. according to established procedures and within parameters of applicable Collective Agreements and YWCA Hamilton Policies;

·       Manages vacation schedules for staff; ensuring compliance with staffing needs, Collective Agreements and staff seniority for vacation scheduling;

·       Responsible for accurate data entry into time management program to record all updates in a timely manner (e.g. absence from work, assignment of shifts, etc.);

·       Replace call-ins in accordance with staffing requirements and in compliance with Collective Agreements;

·       Document call out responses;

·       Provide schedules for management review and approval within applicable posting deadlines;

·       Collaborate with leadership for hard to fill vacancies; • Ensures compliance with YWCA Hamilton policies and procedures;

·       Maintains appropriate Record keeping in accordance with YWCA Hamilton policies and procedures and confidentiality/privacy policies;

·       Supports YWCA Hamilton mission, vision and values;

·       Perform other duties as required.

 


QUALIFICATIONS

·       A diploma or degree in Administrative Studies, Business Administration, or equivalent education, training and experience;

·       Minimum of 1 year of relevant experience working as a scheduler or in a clerical or administrative role;

·       Experience with staffing and scheduling within a unionized social services environment preferred;

·       Experience using Payworks System is an asset;

·       Working knowledge of scheduling practices and collective agreement interpretation;

·       Exceptional organizational skills with ability to prioritize tasks, work under pressure, meet deadlines, and quickly adapt to change;

·       Excellent verbal and written communication skills;

·       Detail oriented with accurate data entry skills;

·       Must be able to work from a feminist, anti-racist/ anti-oppressive perspective;

·       Bilingual English/French or other languages an asset;

·       Strong skills using MS Office programs including Excel and Word; Ability to maintain a positive and professional approach at all times;

·       Must provide a current Criminal Record and Judicial Matters Police Check or willing to obtain at own cost;


WORKING CONDITIONS:

·       Works 37.5 hours per week;

·       Schedule includes days, afternoons, nights and on-call.
