Summary of Position: The Sales Operations Admin is responsible for accomplishing sales process objectives by planning and evaluating sales order process activities: guiding the order through the stages of the prototype, confirmed, production, and delivery to end-user. Act as a mediator between the sales team (remote and on-site), internal departments (remote and on-site), and manufacturer (international remote). This role is an active partnership engaged in the lifecycle of the orders presented from the sales team with the potential to close – with an invested interest in seeing the timely cultivation and production of the sale through all parts of the process before close.
Summary of Duties and Responsibilities:
- Assert responsibility on inputting, monitoring, and pushing orders through the entire sales cycle that come from the front lines Sales Department
- Monitor orders from start of potential design to production delivery from a macro perspective and communicate with other departments to collect information/materials in -order to move orders in the production cycle for the benefit of the sales rep and customer
- Generate and Audit all forms being generated to present to the customer for presentation options, pricing, and product information, discounting, timeline management, including but not limited to Design Revisions, Art Approvals, Fit Kit Requests, Quotes, Sales Orders, Purchase Orders, Proto Approvals & Revisions, and Size Sheets and Revisions.
- Assist sales reps in accomplishing any back-end requirement necessary with another department to help close sales deals, such as sending out salesmen samples, fabric swatches, and filling out forms with other departments
- Track and report project milestones and provide status reports to sales reps and management, taking ownership of the process status and movement
- Communicate with a factory in China/local vendors in Dallas to determine production lead-time, order status, and estimated exit factory dates for the overall project benefit and sales fulfillment; participate in department objectives to help with forecasting and balancing of an international production model based on seasonality for the benefit of the customer and manufacturer
- Prevent, and investigate problems and issues when customers’ complaints come into place and propose problem-solving solutions using a multi-dimensional approach from the customer, sales, and internal operations viewpoints;
- Accomplishes quality and organization mission by completing related results as needed
- Achieves operational objectives by contributing information and recommendations as it relates to the sales rep/customer needs with other departments and manufacturer

What Is Expected From You:
- Maintaining a ledger of sales representatives locally and remotely, including past, existing and future business opportunities to fulfill
- Heavy email monitoring and responding – in dedicated time blocks to ensure urgent needs are met, but maintaining efficient proactive work habits
- Asserting meetings and check-points with sales reps to ensure you are fully aware of the statuses and needs of the customer/sales rep from a weekly/daily standpoint
- Inputting and proactively taking ownership in the statuses and needs of all order fulfillment as a liaison between the sales rep and internal departments
- Generating and auditing documentation within a CRM and assisting in manual formwork
- Maintaining timeline and prioritizing projects affected by delays, issues, or bottlenecks to ensure expectations are communicated and met – externally and internally – from potential to production
- Ensure CRM information is complete and maintained for accurate and detailed reporting – for the awareness of the customer and sales rep, as well as the company reporting needs
- Utilizing reporting features in ERP systems to help maintain process management
- Staying up to date on continued policy changes and improvements to systems, business processes, and actively contribute ideas to such dynamics
