Schedule: Tuesday to Saturday (9.00 am to 4.30 pm)

Wage: $25.95 - $29.76 (Starting $25.95)

The Opportunity

The Program Administrative Assistant is responsible for all administrative duties related to Self Employment program These duties primarily include data collection for reporting, record keeping, maintaining client referrals and waitlists and overall support of direct service provision.

Key Responsibilities:

  • Maintains knowledge of the availability and eligibility requirements of Self Employment program
  • Coordinates with Business Advisors , rental space and event booking partners to ensure deliverables are completed
  • Ensures Timesheets are completed in a timely manner and that they are accurate and completed correctly before they are signed by the Manager
  • Supports Manager in completing expense claims and ensures claims are filled out accurately
  • Assists with event planning and event management
  • Performs all administrative duties related to the program such as compiling data for reports, waitlists, attendance sheets, client feedback etc.;
  • Compiles and maintains program statistical information;
  • Manages, tracks and distributes resources for program clients;
  • Performs opening and closing office procedure at Program delivery sites;
  • Attends and/or assists in organizing related program events;
  • Supports manager in the preparation of funding proposals and program budgets;
  • Keeps manager informed of significant developments;
  • Types and edits program correspondence including reports and other documents;
  • Assist with program promotion to community services, the media and DIVERSEcity’s programs;
  • Checks supply inventories, orders and purchases program materials with approval from Manager.

Qualified candidates will possess:

  • Post-secondary training or certificate in Office Administration and a minimum 2 years experience in an office environment;
  • Recent, relevant experience working in administration in non- profits an asset;
  • Strong English communication skills, written and oral;
  • Access to a vehicle and valid driving license
  • Ability to communicate effectively with people with limited English proficiency;
  • Excellent computer and Internet skills (advanced knowledge of MS Office, Excel, CRM databases and other databases), with a typing speed of 50wpm;
  • Competency with office equipment, procedures and business communications;
  • Professional telephone manners and good interpersonal skills;
  • Ability to work cooperatively within a teams;
  • Excellent organizational and time-management skills;
  • Exhibits cross-cultural competency.
