Position:           Personnel Administrative Assistant

Reports to       Personnel Manager and CEO

POSITION SUMMARY:

Under general supervision of the Personnel Manager and CEO, the Personnel Assistant is responsible for administering policies and procedures relating to all phases of human resources activity within Easterseals West Georgia.

DUTIES & RESPONSIBILITIES:

·         Maintains knowledge of company policies and procedures and other legal requirements, and governmental reporting regulations, affecting human resources functions and ensures that policies, procedures and reporting are in compliance.

·         Processes departmental requests to fill part-time and full-time open positions.

·         Prepares and place job postings for position openings and attends community job fairs regularly.

·         Research recruitment strategies for optimal potential applicant outreach which includes the utilization of no charge on-line employment sites.

·         Collects all applications and maintains open application file. Reviews applications to ensure minimum qualifications are met and presents them to the department heads with resumes/applications of qualified candidates.

·         Schedules interviews and prepares interview packets and all documentation and communications regarding employee onboarding.

·         Plans and conduct new employee orientation.

·         Maintains all employee personnel files, which include tracking CPR & 1st aid and medical requirements (drug screening, hepatitis vaccinations, etc.) insurance and retirement enrollment.

·         Prepares employee separation notices and related documentation, and conducts exit interviews to determine reasons behind separations.

·         Assists the Personnel Manager and CEO in the preparation of the Personnel Committee meeting agenda and all paperwork associated with the Personnel Committee meetings.

·         Assist the Personnel Manager with employment statistics.

·         Perform other duties as assigned by the Personnel Manager and CEO.

WORKING EXPECTATIONS: 

·         Exercises professionalism in the presence of participants, visitors, and other staff at all times. 

·         Ensures that all conversations are always geared toward what is appropriate.

·         To ensure quality of services provided, staff are expected to receive a rating of 20 (meets expectation) or higher on all performance reviews.  Scoring under 20 will result in the staff member being placed on a 1-3 month probation until the level of quality is improved or termination may result.

 

QUALIFICATIONS:

·         Preferably, an associate’s degree or equivalent from an accredited college or university with specialization in human resources or business administration; or two years in personnel administration.

·         Strong knowledge of Microsoft Office and other applicable computer software packages, i.e. HRIS systems.

·         Strong verbal and written communication skills.

·         Demonstrated ability to exercise confidentiality.

·         Excellent interpersonal, problem solving and customer service skills.

·         Must be able to multi-task, respond to emergency requests on short notice and complete assignments in a timely manner according to deadlines determined by either the Personnel Manager, CEO or department heads.
