Job Summary

Odyssey House Louisiana, Inc. is seeking a full-time Patient Care Coordinator for the Community Health Center. The schedule for this positions is Monday-Friday 8am-5pm.


This position is one of the most important functions in the health care delivery system and the first point of contact. This position will receive the patient and coordinate them into the services needed. Making appointments and making preliminary assessment category of payment for patients are essential before provider can see them and proceed with billing in accordance with services provided.

 

Responsibilities and Duties

It is the duty and responsibility of the Patient Care Coordinator to:


  • Greet and welcome patients in person or by phone, providing information about available services, payment categories, and billing procedures.
  • Schedule appointments, triage walk-ins and emergencies, and manage patient flow according to clinic policies.
  • Call patients to remind them of upcoming appointments and follow up on missed appointments (“no-shows”) per protocol.
  • Respond to patient questions, concerns, or complaints and escalate to the Clinic Manager when appropriate
  • Register patients according to established protocols and collect required documentation.
  • Accurately enter patient data into the Electronic Health Record (EHR) and grant-related reporting systems.
  • Generate route slips, ensure all services provided are properly checked out, and maintain accurate patient files.
  • Verify insurance coverage, determine patient financial responsibility, and apply the sliding fee scale as appropriate.
  • Collect deposits, co-pays, or deductibles prior to appointments and issue receipts for collected payments.
  • Inform patients of outstanding balances and assist with payment arrangements.
  • Prepare billing documents, utilize ICD and CPT codes, reconcile monthly bills, and coordinate with accounting for submission to third-party payers.
  • Assist patients in completing Medicaid applications (online or paper).
  • Answer incoming phone calls, route messages to the appropriate staff, and manage after-hours call service.
  • Support clinic operations by maintaining inventory and ordering office supplies as needed.
  • Run requisitions for internal billing and ensure accurate reporting.
  • Participate in Quality Assurance (QA) and Quality Improvement (QI) initiatives.
  • Perform other administrative and operational duties as assigned.
  • Work closely with medical, nursing, and health promotion staff to ensure smooth patient flow and reduce wait times.
  • Coordinate with outreach staff for follow-up on missed appointments or referrals.
  • Contribute to team-based care initiatives and support integrated service delivery.

Qualifications and Skills

Minimum qualifications include the following:

  • High School Diploma or equivalent
  • Knowledge in CPT billing certification, HIPAA training
  • One year of medical experience from a similar setting
  • Ability to relate to patients through familiarity with medical terminology
  • Ability to communicate with people and understand their problems
  • Belief in health care with dignity for all
  • Proficient in MS Office Suite

Preferred qualifications include the following:

  • Prior knowledge of electronic Practice Management Systems and Electronic Health Records
  • Medicaid Application trained
  • Sliding Fee Scale experience
