Position Overview
Pathways to Life, Inc. is seeking a highly organized
and professional Executive Assistant to provide direct administrative support
to the Chief Executive Officer. This position plays a critical role in managing
the daily operations of the CEO’s office, coordinating executive
communications, and ensuring the CEO’s time and priorities are effectively
supported.
The ideal candidate is detail-oriented, highly organized, and able to manage multiple priorities while maintaining strict confidentiality. This role requires strong communication skills, professionalism, and the ability to work independently in a fast-paced environment.
Key Responsibilities
-Manage and coordinate the CEO’s
calendar, appointments, and meeting schedule to ensure alignment with
organizational priorities.
-Screen, prioritize, and manage
communications directed to the CEO, including emails, calls, and correspondence.
-Prepare reports, presentations,
briefing materials, and executive correspondence for the CEO.
-Coordinate travel arrangements
and itineraries for the CEO as needed.
-Prepare meeting agendas and
materials to ensure the CEO is well prepared for meetings.
-Maintain accurate records and
documentation related to meetings and executive activities.
-Track action items and follow-up
tasks resulting from CEO meetings.
-Maintain organized executive
filing systems and documentation.
-Track deadlines, deliverables,
and commitments assigned to the CEO.
-Provide administrative
coordination for special projects and initiatives led by the CEO.
Qualifications
-Bachelor’s degree in Business
Administration, Healthcare Administration, Public Administration, or a related
field preferred.
-Minimum of 3 to 5 years of
executive administrative support experience, preferably supporting a Chief
Executive Officer or senior executive.
-Experience working in healthcare,
behavioral health, or nonprofit organizations is preferred.

-Ability to maintain strict
confidentiality with sensitive information.
-Ability to prioritize tasks and
manage multiple responsibilities in a fast-paced environment.

-Proficiency with Microsoft Office
or Google Workspace platforms.
-Ability to work independently
while supporting executive leadership priorities.
