Job Summary
Odyssey House Louisiana, Inc. is seeking a full-time Engagement Specialist. The schedule for this position is Monday-Friday 8am-5pm.
The Engagement Specialist performs a variety of administrative tasks for the Briscoe Program. The Engagement Specialist’s primary role is scheduling and referral coordination, assisting in the completion of admissions, coordinating transportation for Briscoe clients, and continuity of care planning. This role may also include outreach opportunities (at the discretion of the Program Manager and based on facility needs).
Duties & Responsibilities
It is the primary duty and responsibility of the Engagement Specialist to:
- oversee the efficient operations of the Treatment Office by maintaining electronic correspondence (fax and copier), memos, and other documentation;
- contact referral sources daily and update/maintain referral spreadsheets;
- coordinate referrals, check and follow through with online referrals via referrals@ohlinc.org, and schedule referral appointments
- initiate scheduled intakes for admissions counselors;
- engage clients on waitlists and schedule appointments;
- maintain communication with government officials for court-ordered clients;
- answer and field all front desk calls and conduct preliminary triage;
- complete initial triage forms;
- meet scheduling productivity goals as directed by the Program Manager and Director;
- run and distribute reports and maintain the Engagement Specialist Log;
- providing benefits and Medicaid support;
- assist in transportation arrangements and coordination activities;
- maintain and input daily updates on LADDS, OAD census and Service Point information for monthly, quarterly and annual reporting requirements;
- draft requisitions for the purchase of supplies; may involve entering information into an automated system;
- conduct MEVS, background checks, UDS;
- distribute orientation booklets;
- coordinate viewing of mandatory Narcan video;
- update census and discharge reports daily and assign new clients to Counselors;
- participate in staff meetings when necessary; and
- perform other duties as assigned.
It is the secondary duty and responsibility of the Engagement Specialist to:
- screen incoming mail and draft responses to inquiries for information concerned with matters of non-technical nature and/or matter in which precedents are clear;
- distribute incoming resident mail based on OHL-B’s current workflow;
- maintain department’s records system, including filing and retrieving documents, researching files, etc.;
- maintain SharePoint files and inactive treatment files;
- complete all Incident Reports prior to the end of the scheduled shift as required by the Incident Policy and Procedure;
- facilitate client phone calls related to establishing needed services/care (i.e., SNAP benefits);
- assist with filing of client documentation;
- contact the Senior Program Manager in the event of a fire or evacuation of the treatment facility as required;contact the Program Manager or the Behavioral Health Technician Supervisor if the Police or other law enforcement officials come to the Agency;
- perform searches on clients returning to the program from outside activities;
- scan documentation into the Electronic Health Record;
- enter client information into the Practice Management System; and
- support outreach efforts by attending, facilitating, or assisting with various outreach opportunities and activities;
- perform other duties as assigned.
Minimum Qualifications
- Proficient in MS Office Suite
- Atleast 6 months experience with substance abuse treatment
- Excellent communication skills
Preferred Qualifications
- Bachelor’s Degree in a human service related field
- More than 2 years of substance abuse treatment experience
- At least 1 year of Electronic Health Record system experience
- At least 1 year of MS Access experience
- Knowledge of Narcotics Anonymous and Alcoholics Anonymous principles
