Client Services Coordinator
POSITION OVERVIEW
We are seeking an enthusiastic and personable Client Services Coordinator to serve as the first point of contact for clients and support our team of Loan Originators. This entry-level position combines receptionist duties with loan support and marketing assistance, providing an excellent foundation for individuals interested in pursuing a career as a Junior Loan Originator and eventually a licensed Loan Officer. This is an ideal opportunity for someone who enjoys working with people, has strong organizational skills, and is eager to learn the mortgage lending business.
ESSENTIAL DUTIES AND RESPONSIBILITIES
Client Relations and Reception:
- Greet clients warmly and professionally in person and over the phone
- Manage front desk operations and maintain a welcoming reception area
- Screen and direct incoming calls to appropriate team members
- Assist clients with initial loan applications and information gathering
- Check in scheduled appointments and ensure clients are comfortable while waiting
- Build rapport with clients and provide exceptional customer service throughout their loan journey
- Respond to general inquiries via phone, email, and in person with professionalism
- Maintain client confidentiality and handle sensitive information with discretion
- Ensure reception area is organized, stocked with materials, and presents a professional image
Loan Officer Support:
- Assist Loan Originators with gathering required documentation from borrowers
- Schedule appointments, meetings, and loan consultations for Loan Officers
- Follow up with clients to collect missing documents and information
- Input basic loan information into the loan origination system
- Track loan pipeline status and provide updates to Loan Officers
- Prepare loan files and ensure all documentation is organized and complete
Marketing and Business Development Support:
- Assist with social media content creation and scheduling
- Help prepare marketing materials, flyers, and client communications
- Support Loan Officers with realtor and builder outreach efforts
- Assist in organizing and promoting community events and seminars
- Help maintain the client database and CRM system
- Collect and compile client testimonials and referrals
Administrative Duties:
- Manage incoming and outgoing mail and deliveries
- Order and maintain office supplies and marketing materials
- Assist with special projects and tasks as assigned by management
- Maintain office equipment and coordinate service as needed
- Support overall office operations to ensure efficiency and professionalism
QUALIFICATIONS
Required:
- High school diploma or equivalent; some college preferred
- Strong interpersonal and communication skills
- Professional appearance and demeanor
- Excellent organizational skills and attention to detail
- Proficiency in Microsoft Office Suite (Word, Excel, Outlook)
- Ability to handle multiple tasks in a fast-paced environment
- Reliable, punctual, and team-oriented
Preferred:
- Experience in a customer-facing role
- Interest in the mortgage or financial services industry
- Familiarity with social media platforms
- Experience with CRM software a plus
