Artist Coordinator - Canada Wide 2026

Artist Coordinators (AC) undertake most of the administrative and leadership responsibilities for the Pre-Professional Program (3P), and Emerging Artists (EA) programs. This role has been created to provide Post-secondary Artist Management, or Music Business students & graduates the opportunity to build experience working hands on coordinating and administering a number of different artists concurrently.

This full-time summer employment contract ranges from 8 -16 weeks, May through September. Post-secondary students are welcomed and encouraged to apply for this position as part of their program requirements for a co-op or work placement. Contracts are funded by the Government of Canada, and offered at the Ontario minimum wage. Please be aware that all positions may not be funded in all locations.


This position follows a hybrid work structure where employees both work from home and from the office/meet up location(s) as needed, based on demands of specific tasks and projects.
Working from the office/studio or your local meet up location(s) will be required when working on tasks that require a high degree of collaboration, or in-person supervision. 

Training and Workshops for this role may be online or in-person.  

Duties and Responsibilities of an Artist Coordinator
Artist Coordinators (AC) ensure that their assigned portfolio/cohort of artists are successfully completing tasks and achieving the outcomes of the 3P or EA program, on time and with excellence.

Using their administrative and leadership abilities, AC’s have three overarching responsibilities


Leadership and Management

  • Communicate and support achievement of work expectations with their team.

  • Foster a productive and creative work environment. 

  • Artist Coordinators enjoy the opportunity to continue to develop their music industry knowledge via their own participation in the training and workshop components of the Artistic Program 

  • Liaise with Community Engaged Performance (CEP) Coordinators to ensure your artists are properly scheduled for the full summer season to support municipal agreements, festivals & events, and other performances on the artistic calendar.  Ensure to find replacements for artists who are unwell, and that this information is properly documented and communicated through correct processes. 

  • Liaise with the professional development (PD) team to ensure your artists are attending all workshops, and participating as expected. 

  • Participate in rotating “Supervisor on Duty” shifts which ensure all artists are working safely, present on time and in their uniform shirt etc, as outlined in the SOD procedures, and complete and submit an end of shift report. 

  • Attend “Meet-Ups” as scheduled in the appropriate communities for your contract.  (Some remote workers will be unable to attend any, if they are the only person working in their community, or province.)

Administrative & Data Completions

  • Ensure your artists are completing and submitting their post-training surveys after each workshop. 

  • Complete reports and administrative duties in a timely and responsible manner, including the daily SOCAN data entry in the performance spreadsheet. 

  • Provide support for the staffing of Co-op musicians at local events. 

  • Collaborate and interface with other supervisors and managers across supporting departments.

  • Engage in daily 1:1 and group remote check-ins with musicians under their supervision (Your cohort, and when you are Supervisor On Duty)

  • Help schedule activities, keep logs, maintain records and prepare reports. 

  • Approve timesheets and time-off requests for participants under their supervision.

Creative and Artistic Development

  • Safely supervise, coordinate, plan and oversee the daily work activities of participants in the 3P program.  Assist or monitor EAs on a request basis. 

  • Motivate and inspire participants and facilitate the artists’ growth through team and individual activities and goal-setting.

  • Assist in setting strategic long and short-term project goals and evaluate outcomes. 

  • Provide feedback to ensure company goals and objectives are being met by each participant. 

  • Support and uphold company policies including but not limited to safety rules and regulations, dress codes, and attendance.

  • Practise soft skills associated with artist management and arts administration.

  • Participate in and lead training and workshops in areas of your expertise to develop additional career-related competencies, as requested. 

Hours of Work

Artist Coordinators will participate in a shift sign up process at the beginning of the season to provide some flexibility in arranging schedules.

  • Typically 35 hours per week

  • Scheduled supervision shifts on evenings and weekends (Supervisor on Duty and Office Hours).

Education/Experience Requirements

A strong candidate: 

  • Will possess or be nearing completion of a post-secondary or post-graduate program in one of the fields of Music, Music Business Studies, Audio Engineering,; or possess equivalent work experience and knowledge.

  • May have one to two years of experience as a supervisor, or leader (including, but not limited to, peer mentors, camp counsellors, instructors, etc.).

Technical:

  • Knowledge of the Music Industry

  • Accuracy in data entry

  • Intermediate computer literacy using the following systems and software:

  • Microsoft Office (Word, Excel, PowerPoint)

  • Google Workspace (Gmail, Google Docs, Google Calendar, etc.)

  • Online communications platforms (Slack, Discord, Zoom, etc.)

  • Project management software (Monday.com)
