As a Department Manager, you will oversee and be responsible for all operations and staff within the Membership Services department. The Department Manager will take part in hiring and onboarding processes for their prospective staff, including training and orientation, and will be responsible for scheduling, guiding, and supporting the department’s work and goals. Department Managers and Program Administrators will also meet at least weekly at a company Leadership meeting, and will take part in leading company-wide staff meetings. Each Department Manager will report directly to Corporate Services, including the Managing Director and other members of the Leadership Team.

 

As a co-operative, we have a growing membership comprised of employees, volunteers, music industry professionals, corporations, municipalities, music enthusiasts in our communities, and others. We have a tiered membership system with various benefits and perks to suit the needs of our members. Membership Services Coordinators, under the direction of the Department Manager of Membership Services, plan, develop, administer, and evaluate programs and benefits for members of The Co-op.

 

Due to federal funding requirements for this program, successful applicants must be:

  • 15–30 years of age on their first day of work

  • A Canadian citizen, have a permanent resident card, or be protected under the Immigration and Refugee Protection Act (there is no requirement to be a student) 

  • Residing in Canada during the length of the employment.

This program pays at least one dollar more than minimum wage for your province. The summer employment length is 7-16 weeks between the end of April and beginning of September. 

Duties and Responsibilities: 

  • Plan, organize, direct, control and evaluate the operations of the Membership Services department in consultation with Corporate Services and other members of the Leadership Team

  • Establish administrative procedures to meet objectives set by the Board of Directors and the Leadership Team

  • Maintain and operate membership database in the online membership management platform

  • Proofread and/or draft member communications

  • Connect with all departments and supervisors regarding membership as needed

  • Assist in moderating the members-only Discord server

  • Work with staff engaged in providing records management, finance, human resources or other administrative services

  • Plan, administer and control budgets for contracts, equipment and supplies

  • Prepare reports and briefs for management committees 

  • Cooperate with HR to interview, hire, onboard and oversee training for staff

  • Communicate job expectations to staff

  • Ensure company goals and objectives are being met by each employee and provide feedback

  • Motivate and inspire staff and facilitate personal growth through team and individual activities and goal-setting

  • Attend regular meetings with other leaders, including the Managing Director, to plan and address company and programming needs

  • Approve timesheets and time off requests for staff under their supervision

  • Set strategic long and short-term departmental goals and evaluate outcomes

  • Foster a productive work environment

  • Ensure adherence to company and industry regulations

  • Perform other appropriate duties as assigned by management

 

Education/experience requirements:

  • The ideal candidate will possess or be nearing completion of a post-secondary or post-graduate program in Business Administration; or possess equivalent work experience and knowledge. 

  • The ideal candidate will have one to three years of experience as a manager, supervisor, or leader (including, but not limited to, peer mentors, camp counsellors, instructors, etc.). 

  • Experience and familiarity with membership-based organizations is an asset.

  • Experience creating and implementing strategies for an online work environment is an asset.

    • Online communications platforms (Slack, Discord, Zoom, etc.)

 

The Co-op seeks individuals who enjoy collaboration, creativity, learning new skills, and engaging with artists and the community. This position may involve working some evenings and weekends as needed for special events (typically mass interviews and onboardings) and items needed on an urgent basis.

Additional Information

Membership is not required to participate in the competition for this position, and no preference is given to existing members in our ranking process, however, upon acceptance of an employment contract, all employees are required to join the co-operative.
