Job Summary:

The Manager, Strategic Projects & Executive Support is responsible for providing high-level operational and administrative support to executive leadership while managing critical cross-functional initiatives. This role requires exceptional organizational skills, analytical capabilities, advanced proficiency in Excel, Salesforce, and Monday.com, and the ability to manage multiple complex projects simultaneously. The Manager will oversee special projects initiated by the executive team, manage critical sales data and reporting systems, coordinate new initiative rollouts across departments, administer sales recognition programs, and provide regular company highlights and updates to the Owner. This position serves as a key liaison between executive leadership and various departments, ensuring seamless execution of strategic priorities and organizational goals.

Essential Functions/Job Duties:

1. Executive Support & Strategic Project Management
  • Provide comprehensive executive assistance to the Vice President of Sales and other executive leaders, including calendar management, meeting coordination, and correspondence.

  • Oversee and manage special projects originating from the executive team, ensuring timely completion and alignment with organizational objectives.

  • Coordinate cross-functional project teams across sales, operations, marketing, R&D, and other departments to achieve project milestones using Monday.com project management workflows.

  • Track project progress, identify risks and roadblocks, and communicate status updates to executive leadership through Monday.com dashboards and reports.

  • Prepare and deliver regular company highlights, performance summaries, and strategic updates to the Owner, ensuring visibility into key organizational achievements and initiatives.

  • Prepare executive presentations, reports, and briefing materials for leadership meetings and strategic planning sessions.

  • Manage confidential information with discretion and maintain a high level of professionalism in all interactions.

2. Data Management & Analysis
  • Oversee sales data management systems, ensuring accuracy, completeness, and accessibility of critical performance metrics within Salesforce.

  • Utilize advanced Excel functions including pivot tables, VLOOKUP, formulas, and macros to analyze complex datasets and generate actionable insights.

  • Conduct regular sales data reviews to identify trends, anomalies, and opportunities for improvement using Salesforce reporting tools and Excel analytics.

  • Generate and distribute comprehensive sales reports, dashboards, and analytics to support leadership decision-making.

  • Maintain data integrity across CRM systems, expense platforms, and sales tracking tools, ensuring proper data hygiene in Salesforce.

  • Collaborate with IT, operations, and finance teams to optimize data collection processes, Salesforce configurations, and reporting capabilities.

  • Provide data-driven insights to support strategic planning and performance evaluations.

3. New Initiative Rollout & Implementation
  • Assist executive leadership with the planning, coordination, and execution of new initiatives, programs, and process improvements across multiple departments.

  • Develop comprehensive rollout plans in Monday.com that include timelines, communication strategies, training requirements, and success metrics.

  • Coordinate with training, marketing, operations, and sales teams to ensure seamless implementation of new initiatives.

  • Monitor adoption rates and gather feedback from various departments to assess initiative effectiveness and make necessary adjustments.

  • Create documentation, standard operating procedures, and resource materials to support initiative sustainability and scalability.

  • Serve as the primary point of contact for initiative-related questions and support across the organization.

4. Project Management & Company Reporting
  • Manage and maintain Monday.com boards, workflows, and automations to track organizational projects, initiatives, and key priorities.

  • Compile and synthesize information from across departments to provide comprehensive company highlights to the Owner on a regular basis.

  • Create executive summaries that showcase wins, milestones, performance metrics, and strategic progress for Owner review.

  • Ensure the Owner has visibility into critical business activities, challenges, and opportunities through clear and concise reporting.

  • Coordinate with department heads to gather relevant information for Owner updates and company-wide communications.

5. Sales Recognition Program Administration
  • Serve as the key administrator for all sales awards, contests, and recognition programs.

  • Design and implement scoring methodologies using Excel and Salesforce data that align with company objectives and drive desired sales behaviors.

  • Track contest performance, calculate results using advanced Excel formulas and Salesforce reports, and ensure accurate and timely recognition of winners.

  • Manage award fulfillment, including prize selection, vendor coordination, and distribution logistics.

  • Communicate contest rules, standings, and results to the sales organization in an engaging and transparent manner.

  • Analyze contest effectiveness and recommend improvements to maximize participation and impact.

6. Expense Management & Financial Oversight
  • Administer expense review processes for the sales organization, ensuring compliance with company policies and budget guidelines.

  • Monitor sales team expenses using Excel tracking systems and financial reporting tools, identifying discrepancies and working with field representatives to resolve issues promptly.

  • Generate expense reports and analysis for executive review, budget planning, and financial forecasting purposes using Excel spreadsheets and pivot tables.

  • Coordinate with finance and accounting teams to streamline expense submission and reimbursement processes.

  • Provide guidance to sales representatives on expense policies, documentation requirements, and best practices.

  • Support other departments with expense-related processes and policy compliance as needed.

7. Policy Compliance & Reporting
  • Ensure all operational activities and strategic projects comply with company policies, procedures, and industry regulations.

  • Maintain accurate documentation of projects, initiatives, contest results, expense records, and program outcomes in Salesforce, Monday.com, and Excel tracking systems.

  • Prepare regular reports on operational metrics, project status, program effectiveness, and strategic recommendations for executive leadership.

  • Support audit processes by providing necessary documentation and ensuring record retention standards are met.

  • Monitor compliance across various programs and initiatives, flagging issues and implementing corrective actions as needed.

8. Collaboration & Cross-Functional Partnerships

  • Serve as a liaison between executive leadership and various departments, facilitating clear communication and strategic alignment.

  • Partner with marketing, finance, HR, IT, operations, and R&D teams to support organizational initiatives and strategic projects.

  • Coordinate with District Managers, Market Managers, and department heads to gather feedback and ensure alignment with executive priorities.

  • Participate in cross-functional meetings and planning sessions to represent executive perspectives and coordinate implementation efforts.

  • Build strong working relationships across the organization to facilitate collaboration and project success.
