Communications Administrative Assistant (Part-Time)

The Communications Administrative Assistant shall be responsible to the church, under the direction of the Communications Director, for providing administrative support in executing the responsibilities for the Communications Department. As needed, this position also assists the Promotions Director, the Digital Strategy Director, and the Editorial Content Director.

 

PRIMARY JOB RESPONSIBILITIES may include but are not limited to the following:

·         Provides administrative support to the Communications Director including but not limited to reporting, correspondence, inter-office memos, proofing/editing documents, facility/calendar/communication requests, maintaining file systems, travel arrangements, office supplies, and hospitality

·         Oversees Print Shop operations, including the recruitment and training of potential volunteers

·         Assembles printing quotes and places orders with Communications vendors

·         Assists in preparing, reviewing, balancing, and maintaining the budgets of the Communications Department under the direction of the Communications Director. This includes processing check requests, reconciling monthly credit card statements, and printing monthly reports.

·         Attends meetings as requested by the Communications Director in order to document tasks and assist in assignment follow-through

·         Ensures files are delivered to the printer on time

·         Creates monthly and annual reports of the projects and activities of the Communications Department

·         As necessary, follows up with account managers for any changes or updates on projects

 

OTHER RESPONSIBILITIES may include but are not limited to the following:

·         Maintains an up-to-date list of vendor information, providing one point of contact from the Communications Department to our vendors and freelancers

·         Along with account managers, cultivates healthy relationships with our vendors/clients

·         Maintains inventory/placement/storage of deliverables and signage

·         Completes check request forms for receipts and manages departmental invoices

·         Monitors tasks of the Communications Department for onboarding new staff

·         Coordinates and arranges meetings, setting up food, and reserving rooms when requested

·         Completes other duties as assigned by the supervisor

QUALIFICATIONS:

·         Thorough knowledge of Microsoft Office

·         Ability to learn computer-based management services, such as Ministry Platform, Martus, and eSpace

·         Basic printing knowledge is a strong plus

·         Excellent verbal and written communication skills

·         Professional phone skills and excellent relational skills

·         Strong work ethic with “can-do” attitude

·         Possess organizational skills and attention to detail

·         Must be punctual and confidential

·         Has a growing walk with Christ exemplified through actions and attitudes

·         Working knowledge of church activities and culture is a strong plus

 

EDUCATION & EXPERIENCE:

·         Associate’s degree from an accredited college/university; or one to five years related experience; or equivalent combination of education and experience in administrative support or communications

·         Work experience with a Christian organization is a strong plus
