Job Summary:

The Behavioral Health Center Admission Specialist (BHAS) is part of our Admissions Center team and is often the first point of contact for potential patients and/or family members of patients. The BHAS facilitates admissions from initial lead to Vertava Health (VH) Behavioral Health Centers through conducting telephonic intakes, collection of information including data capture, and insurance information, and explaining services and related costs. The BHAS collaborates with the Clinic Solutions Coordinator at each Behavioral Health Outpatient Center; provides detailed information on the outpatient process; and reports trends, obstacles, and opportunities to each Outpatient Director. The BHAS reports directly to and Admission Center Manager for KPI’s and expectations

Priority responsibilities include:

  • Assist potential patients, loved ones, and referral sources from initial call to point of admission

  • Create a professional, timely, and customer-service oriented approach for every potential patient or family member

  • Receive new leads via phone, online, email, social media, and text messaging campaigns

  • Obtain insurance information and explain benefits

  • Coordinate initial assessment times for new patients with the onsite Solution Coordinator and Behavioral Health Clinic team

  • Provide management with status updates to ensure quota goals are consistently met

  • Identify and perform daily outbound calls including: following up on old leads, calling former patients to ensure their continued success in sobriety, and reaching out to patients being worked by teammates

  • Seamlessly work within a team environment in order to ensure comprehensive service to every patient

  • Coordinate with the outside Account Executives regarding referrals

  • Create and support a positive, professional, team-oriented, harassment-free work environment by understanding and complying with the Company’s policies

  • Provide guidance to patients and families on federal treatment regulations as required

  • Track and reports on trends, obstacles, and opportunities to Outpatient Directors as needed

  • High school diploma required

  • Minimum of 2 years in customer support, preferably within in a call/admission center environment with proven track record of customer-service excellence

  • Superior ability to multitask

  • Excellent verbal and written communication skills

  • Knowledge of accessing and using the Internet and MS Office tools, including potentially building reports

  • Experience with CRM and EMR systems preferred

  • Must have organization and planning skills

  • Ability to collaborate and function as part of a team

  • Resilience when faced with rejection critical

  • Possess a high level of energy

  • Willing to work long hours and schedule flex

  • Ability to flex in a fast-growing company and take on new tasks/projects as assigned

Physical Requirements: 

  • Ability to sit for long periods (5+ consecutive hours)

  • Ability to stand, walk, reach, climb, balance, stoop, kneel, or crouch frequently

  • Ability to frequently lift and carry up to 20 lbs. and occasionally lift and carry up to 50 lbs.
