Full Job Description

Essential Duties

·        Provide positive and effective communication services by phone, email, text etc.

·        Provide friendly customer service assistance including estimates in a professional and timely manner.

·        Become efficient using all dispatch software and programs used by the company to book trips.

·        Follow NMotion Policies and procedures and HIPAA guidelines as required by federal and state law.

·        Be the primary communication person between drivers, supervisors, and referring and receiving facilities and agencies.

·        Assist clients by scheduling non-emergency medical transportation.

·        Dispatch, route, and schedule clients pick up and drop off times and assign drivers as needed to keep business flowing.

·        Confirm required client and billing information.

·        Track fleets and traffic as needed to provide realistic travel time and ETA.

·        Give drivers their schedules in a timely manner each day before your shift ends.

·        Confirm drivers received scheduled trips and update required computer documentation daily.

·        Filling in the field with driver no show, call offs, and additional trips as needed.

·        Call or email and follow up with clients and or drivers who are no show.

·        Complete all paper and computer documentation per NMotion policy.

·        Ensure required dispatch data is accurate, completed and properly stored to optimize On Time Performance (OTP)

·        Track drivers time and collect data to complete payroll.

·        Clean and organize workspace and some janitorial activities as needed or directed by supervisor.

·        Report to shifts punctually in clean professional attire and respond promptly to client needs.

Qualified individuals

·        Must have good interpersonal skills, is self-motivated and detail oriented.

·        Must have knowledge of Excel, Microsoft word, Outlook, etc.

·        Must be able to multi-task in a fast-paced environment.

·        Complete tasks involved in maintaining efficient systematic office flow.

·        Maintain notes on conversations provided by the driver/client and trip notes for early, late trips, incidents and/or accidents, explaining what happened and document issues in the trip ticket daily.

·        Coordinate with dispatch supervisor to resolve issues and share knowledge.

·        Understand fleet limitations when assigning fleets based on the passenger’s needs.
