Academic Affairs Specialist

The position of Academic Affairs Specialist handles academic-related personnel functions including all phases of contract administration. More specifically, tasks include but are not limited to administering contracts for full and part-time faculty for traditional day, adult studies, and graduate programs as well as contracts for faculty with administrative appointments, annual renewal letters, changes in rank and/or tenure, and sabbatical and leave of absences, while updating and maintaining faculty databases. The Academic Affairs Specialist also reviews/generates special payments  for overloads, tutorials, independent studies, online template courses, nursing requisitions and faculty development funds as well as provides administrative management and/or support for faculty annual reports, evaluations, and merit salary grants; summarizing individual faculty loads; handling faculty job postings and Academic Affairs onboarding; and, facilitating faculty legal concerns between Academic Affairs, Human Resources, and Legal Counsel that may include facilitating immigration documents for new hires. Additional duties include generation/distribution of Dean’s List certificates and providing support with other specific academic projects and events, as needed.

 Support services tasks include scheduling and managing multiple internal and external projects and meetings; working with highly confidential and sensitive University information; interacting with administrators, faculty, staff, and visitors; generating letters, memos, reports, and contracts; applying advanced skills in MS Excel spreadsheets; updating documentation; filing; utilizing mail merge and DocuSign; and, assisting with other duties as required by the demands of the Academic Affairs Office.

 The position works closely with the Provost, Associate/Assistant Provosts, Academic Deans, and all Academic Affairs staff as well as with Human Resources, Division Heads and Department Chairs, and other University administrators and staff.


·         Bachelor’s degree required

·         Ability to exercise independent judgment, maintain confidentiality, and adhere to strict deadlines

·         High level proficiency in MS Office software and Database systems
