Hospitality Specialist
Developing and maintaining relationships is a big part of what we do here at ArtsQuest so we can continue to bring events, concerts, festivals, art classes, and so much more to all in the Lehigh Valley. We’re hiring a Hospitality Specialist that will play a vital role in maintaining relationships with Members, Sponsors, Donors, Colleges, Alumni Associations, Non-Profits as well as ArtsQuest Staff and Food Service Vendors/Caterers to ensure exceptional guest experiences during all private, corporate, fundraising events, and Festivals
What you’ll do
- Generating revenue for the organization at ArtsQuest venues, including the Banana Factory, ArtsQuest Center at SteelStacks, the Bethlehem Visitor Center and during events such as Musikfest, Oktoberfest, and Christkindlmarkt.
- Developing and negotiation of contracts, pricing, inside sales activity and outside sales calls
- Coordinating with food service vendors/caterers and ArtsQuest staff to deliver on customer expectations
- Contacting and meet with clients to plan, detail and execute events exceeding expectations and serve as onsite contact for events
- Assisting in creating and organizing BEO’s for each contracted event
- Site inspections, creating event diagrams based on customers’ requests
- Utilizing current menus and create custom menus with VP of Hospitality and Director of Catering based on client needs
- Utilizing Reserve event calendar system
- Partnering with Hospitality Assistant to assist with file system, spreadsheets, inquiries/appointments, contracts and invoicing
- Conducting research and outgoing calls to uncover new sources of business to organizations, non-profits, corporate, social, educational groups to educate clients on ArtsQuest services.
- Participating in the budgeting process/meeting the financial goals of the hospitality department.
What you need to thrive in this role
- Bachelor’s Degree in Tourism and Hospitality Management preferred, Business Administration and related field experience a plus
- Excellent interpersonal skills: the ability to work with guests, clients, and other team members toward organization goals
- 2 – 3 years of previous sales experience, hospitality, and event planning experience
- Self-motivated, energetic, and flexible
- Excellent manager of time and priorities
- Ability to give direction in a clear and concise manner
- Able to actively listen, process information quickly and stay organized
- Proficient with Microsoft Office Suite Programs, such as Word, Excel, Power Point, Outlook. Raiser’s Edge or Patron’s Edge experience a plus
- Must be able to move tables, chairs, and equipment as necessary, with or without reasonable accommodation
- Ability to work flexible hours including evenings, weekends and holidays, when necessary, and often long hours as needed to support clients during multiple events and festivals
- Must be willing to do what it takes to get the job done!
