Position Summary:  The Education Event Planning Assistant is responsible for supporting the Director of Education and Lifelong Learning in researching, implementing, and evaluating seasonal educational programs at Lakeside Chautauqua.  The ideal candidate should possess professional work experience or study in education, be extremely self-motivated and detail oriented. This individual must have strong public speaking, interpersonal and written communication skills, as well as computer and audio/visual equipment competency.


Essential Duties and Responsibilities (To include other duties that may be assigned.)

Programming Responsibilities:

·         Assist with Education Department special events (including, but not limited to Hoover speakers, preconcert speakers, author/writing sessions, education seminars, collaborative programs with other pillars)

·         Manage implementation of scheduled educational programs as assigned by Director

·         Ensure facility set up is appropriate for speaker and audience needs, including but not limited to audio visual, seating, and handouts and reset facility upon completion of programs.

·         Anticipate potential issues and take appropriate steps to resolve issues. 

·         Interact with speakers and audience members prior to and after programs to ensure all needs are met.  Follow up appropriately when needs are not met. 

·         Write and present professional speaker introductions.

·         Provide assistance with coordination and implementation of Programming Department Events as assigned by Vice President of Programming


Administrative Responsibilities:

·         Perform administrative work related to education programs including, but not limited to organizing speaker paperwork, following up on missing information, preparing speaker final confirmations and preparing packets for speakers’ arrival. 

·         Prepare lecture handouts, evaluation forms and additional materials.

·         Assist in marketing efforts related to education programming, including preparing publicity content and promoting programs through multiple channels such as social media, the Lakesider newspaper, and the Lakeside website

·         Research opportunities for youth and teen education programs to be implemented in future seasons, especially as it relates to STEM

·         Prepare end-of-season report detailing program successes and challenges, as well as program attendance and evaluation data

·         Contribute to evaluation of education programs for future planning

·         Participate in Education Department meetings and Programming Department meetings as appropriate



·         Ability to handle multiple priorities, excellent attention to detail and a ‘self-starter’ with the ability to work independently

·         Proficient with Microsoft Office Suite and Outlook

·         Ability to set up and troubleshoot usage of audio/visual equipment including computers, LCD projectors, internet connections, microphones, etc.

·         Ability to maintain confidential information

·         Ability to provide timely and positive responses to correspondence, requests, and questions received by the Education Department

·         Availability to work outside the normal schedule, including early morning, evening and weekend hours

·         Demonstrated ability to collaborate with volunteer groups, peers, administrators and board members

·         Excellent verbal and written communication skills

·         Commitment to ethical business practices and teamwork

·         Ability to set up and tear down events when needed, which may include lifting 20-30 lbs.

·         Proficient and comfortable using social media networks

Education and/or Experience:

Strong interest/study/experience in education and/or life-long learning required. Event planning and public speaking skills preferred.


Language Skills:

Ability to read and interpret documents within the programming department. Ability to write routine reports and correspondence. Ability to speak effectively to customers and employees of the operation.


Mathematical Skills:

Ability to manage contracts, reconcile budgets and business statements, analyze trends and apply basic math concepts.


Reasoning Ability:

Ability to solve practical problems and deal with a variety of concrete variables.  Ability to interpret and respond to a variety of instructions furnished in written, oral, diagram, or schedule form.


Physical Demands:

While performing the duties of this job, the employee is regularly required to stand; walk; use hands/fingers to

handle or feel; reach with hands and arms; stoop, climb or balance; specific vision, depth perception, and ability to adjust focus.  High volume repetitive motion data entry during peak periods. Ability to set up and tear down events when needed, which may include lifting 20-30 lbs.
