Annual Giving Fundraising Coordinator
Full-time - 37.5 hours per week some evenings and weekends. Due to the nature of our work, all positions are carried out onsite.
Reporting to the Manager, Annual Giving, the Annual Giving Fundraising Coordinator will assist in the development of campaigns, provide coordination of general fundraising activities, maintain the monthly donor program, and assist in select event projects. The coordinator will assist in fundraising campaigns and stewardship communications through a broad range of activities and messaging to achieve organizational fundraising goals.
Duties:
Annual Giving Fundraising Campaign Coordination 50%
- Collaborate with internal and external teams to create and maintain a central information bank for front-line programs, including impact information, program costs, success stories, stats, quotes and testimonials from internal and external stakeholders.
- Collaborate closely with cross-functional teams to align fundraising campaigns, including Fund Development, Marketing & Communications, Finance, and relevant program teams.
- Assist with writing and or editing compelling appeals that engage and inspire donors to support of the organization’s mission and vision.
- Support the Manager, Annual Giving with budget tracking, campaign activities, and project coordination support, including creating workback schedules and outlining tasks and deliverables to ensure on-time execution of campaigns.
- Assist with the creation of donor communications that demonstrate the impact of donations to annual giving donors.
- Assist with developing donor and supporter fundraising activities to engage new audiences and increase donor conversion; leverage analytics to identify champions for our work and optimize initiatives.
- Organize, maintain, and update offline and online filing systems in line with records management protocols.
- Stay informed about nonprofit trends, fundraising strategies, and compliance with relevant laws and regulations.
Monthly Donor Program Coordination 20%
- Be a point of contact for monthly giving donors, providing excellent donor relationship management including responding to donors in a timely manner.
- Ensure monthly donors are welcomed into the monthly giving program, contacting donors to recover payments, obtain new payment information, and sharing important updates to increase monthly donor retention.
- Ensure accurate and consistent donor information is entered in Raiser’s Edge and other systems for monthly donors.
- Build and maintain strong relationships with monthly donors by implementing donor recognition and stewardship strategies.
Event Support 15%
- Provide support for event fundraising activities, including coordinating silent auction logistics, soliciting and organizing auction items, managing silent auction donor relationships, and ensuring a seamless and successful auction experience to maximize fundraising outcomes.
- Source, select, and order catering services for donor stewardship events, and special occasions in line with organizational needs and dietary requirements.
- Coordinate delivery, setup, and teardown of catering services, ensuring all requirements are met on time.
- Collaborate with internal teams to plan and execute event needs effectively.
- Maintain a calendar of catering activities, tracking deadlines and deliverables.
- Collect and analyze feedback to continuously improve catering services.
- Other duties as assigned.
General Fundraising Support 10%
- Assist with the coordination and management of casino events and three 50/50 raffles, including obtaining and maintaining required licenses, overseeing compliance with regulations, managing logistics, and ensuring successful execution to meet fundraising goals.
- Other duties as assigned.
Call Centre Support 5%
- Assist the Fund Development team with answering phones, responding to emails, processing gifts.
- Provide excellent service via phone and email to donors.
- Assist in other areas of the shelter when additional support is required (e.g. cleaning and feeding animals)
Position Requirements:
- Relevant post-secondary education with 1-2 years’ experience with integrated marketing or fundraising campaigns; a preference is given to those who have worked or volunteered in a charity/non-profit fundraising environment.
- Ability to work independently and produce high-quality work, within a dynamic team environment that emphasizes the importance of collaboration.
- An excitement to learn best practices and trends in fundraising.
- Strong attention to detail and commitment to maintaining accuracy.
- Excellent project management skills with the ability to manage multiple campaigns and projects simultaneously and meet deadlines.
- Results-oriented mindset focusing on achieving goals and driving campaign performance.
- Intermediate to Advanced skills with MS Office (MS Teams and applications).
- Skill for cultivating positive relationships with internal and external stakeholders.
- Flexibility to work outside of regular business hours to attend events, meetings, and participate in working 2 statutory holidays per year to do animal care.
- Experience with a Donor Management System such as Raisers Edge is considered an asset.
- Demonstrated customer service skills.
- Exceptional written communication skills.
- Genuine interest in the welfare of animals and values congruent with the organization.
- Demonstrated resiliency and ability to maintain professionalism in a fast-paced environment.
Organization Requirements:
- An Employment and Criminal Record background check is required and will be arranged by CHS.
- Must have legal authorization to work in Canada on a full-time basis for any employer.

Physical Requirements:
- Comfortable with and physically capable of handling and working with a variety of species with varying temperaments and histories, including but not limited to dogs, cats, reptiles, rodents, rabbits, and birds. Assisting in areas of the shelter when support is required and working 2 statutory holidays per year to do animal care.
