Learning Experience Administrator

This is a remote role Part-time $35.00/hour

GENERAL DESCRIPTION

The Learning Experience Administrator is responsible for supporting the smooth administration and coordination of all non-teaching components of assigned courses for a given program or programs. This includes managing course materials, tracking and recording grades, and providing administrative assistance to ensure effective course delivery.

ESSENTIAL FUNCTIONS 

  • Assist with setting up course materials (such as handouts, presentations, assignments, and exams). 
  • Manage course digital resources prior to and throughout the term, including uploading materials to Canvas, releasing modules, assignments, quizzes, etc. in a timely manner, and updating due dates, setting up TEAMS for synchronous lectures, etc. in alignment with requirements stated in the course syllabus. 
  • Verify appropriate roles are assigned in Canvas for each course (e.g. program director,) and update role assignments as needed or required to support course-related academic functions. 
  • Ensure that all administrative records comply with institutional policies and privacy standards. 
  • Set up ExamSoft logistics for exams; this may include tagging of exam questions as needed or directed by the program director. 
  • Verify data transfer between integrated systems such as ExamSoft, Canvas, and other required educational technology resources. 
  • Transfer assignment/grade information between non-integrated academic systems to the Canvas Gradebook (such as clinical hours completed from Trajecsys to Orbund (SIS)). 
  • Ensure student grades are accurate and up to date in the Canvas Gradebook and the SIS, prior to the final week of the term. 
  • Accurately track attendance, student participation, and other relevant metrics as directed. 
  • Ensure timely entry of attendance. 
  • Maintain accurate records of all student grades, assessments, and feedback. 
  • Ensure timely entry of grades into the institution’s system. 
  • Monitor course activity and student progress, including completion of asynchronous-class student discussion requirements, adaptive learning modules (such as MindTap, JB Learn), assignments, and assessments, etc. 
  • Grade formative assessments or assignments such as quizzes, assignments, and exams providing feedback within the timeframes established by the institution using the evaluation or grading guidelines provided by the faculty. 
  • Serve as the primary point of contact for student inquiries regarding course logistics and administrative concerns, responding to student questions related to clerical grade transfers, general course logistics, attendance, etc. (Content- or evaluation-specific questions are to be referred to the faculty member.) 
  • Follow up with absent students after each class session, assigning make-up assignments as appropriate in alignment with institutional policies and academic direction, and documenting communication in alignment with institutional policies. 
  • post notifications and reminders as necessary throughout the term (e.g. course-specific schedule changes, etc.). 
  • Communicate any discrepancies or issues with grades or participation to the instructor as quickly as possible. 
  • Communicate with faculty with observed student learning trends and knowledge gaps, absenteeism, concerns regarding
  • academic integrity, and other information as soon as possible. 
  • Notify faculty of content specific discussion posts review needs. 
  • Notify faculty of students out of attendance for 7 days for fully distance (asynchronous) courses. 

WORK EXPERIENCE & EDUCATION REQUIREMENTS

  • High school diploma required, associate degree or higher preferred. 
  • Basic Life Support (BLS) or Advanced Cardiovascular Life Support (ACLS) certification required. 
  • Minimum of 2 years of fulltime experience in Surgical Technology. 
  • Prior teaching or training experience is highly desirable 

SKILL REQUIREMENTS 

Basic computer skills – experience with Microsoft (Word, Excel, Outlook) required; Knowledge of a Contract Management system;  Ability to achieve success individually and as part of a team in a highly structured and regulated work environment; Possesses  excellent verbal and written communication skills; Mature, positive and collaborative interpersonal skills; Persistence combined  with a positive attitude and approach to work and others – self-motivated work style; Commit to obtaining knowledge of the  institution, its program offerings and accreditation standards
