Are you committed to an ecologically sustainable future? Biohabitats is seeking an Office Supervisor to join our BioConstruction Team in our Cascadia Bioregion (located in Portland, OR).
The Office Supervisor will be responsible for coordinating between operations, accounting, construction crew members, and technical team members to facilitate construction crew members, and technical team members to facilitate construction projects and proposals, as well as provide internal office support and administrative organization. The position may require some travel to work sites to ensure regulatory compliance postings.
Attention to detail, an enthusiasm for collaboration, and a passion for the environment are essential. We are a small organization looking for team players who are able to adapt to changing workloads and priorities and possess strong organizational skills.
Vendors, Office Space, and Equipment
» Review and approve office vendor relationships, corresponding contracts, and invoices.
» Seek opportunities to work with like-minded and value-driven vendors for supplies, office cleaning, landscaping, furniture, technology, equipment, and office space.
» Vehicle/fleet/equipment maintenance.
» Office & project equipment.
» Liaison with landlords on all lease renewals and necessary improvements.
» Coordinate liability insurance renewal, auditing, and documentation.
» Coordinate renewals with Operations Team Leader.
» Maintain standard posters and materials for work sites.
Operations & Administrative Support
» Liaison with temporary/seasonal crew members for onboarding, retention, and transition coordination, convert & manage timesheets, and create/submit expense reports.
» Assist with contracts, licenses, invoices, and accounting: project set up in database, transfer cost estimates in Excel, coordination for bonds, insurance, and signatures.
» Coordinate with necessary team members to ensure compliance with safety and other requirements for contracts, clients, and projects.
» Formatting/tracking/editing support for proposals & project profiles.
» A proficiency of Office 365 programs (particularly Excel and Word)
» Ability to adapt to and learn new technology platforms quickly.
» Excellent organizational and verbal and written communication skills.
» Ability to work independently, take initiative, and prioritize tasks.
» Experience with Deltek Vision is advantageous to this position but not required
B.S. in Business Administration or equivalent
