Stewardship & Database Coordinator

35 hours per week, 8 week term

This position fosters positive and long-term donor relationships that are critical to philanthropic support. As part of the Fund Development team, you will help to build a culture of gratitude, inspiration and accountability by stewarding donors and by providing meaningful donor recognition, impactful reports/communications, and engaging donor experiences. The role will focus on day-to-day donor care and updates to the donor profiles with the database for the organization

Reporting directly to the Director of Philanthropy, this position will ensure best practices are in place to support the integrity and quality of donor data. The Stewardship and Database Coordinator role is responsible to employ high standards of communication in stewarding donors. 


KEY RESPONSIBILITIES DATABASE:

  • Ensuring that the charity’s database (RaisersEdge NXT) is kept fully up-to-date and all donor records are compliant with Canada Post addressing standards and any CASL compliance requirements
  • Ensuring timely and accurate recording of all donor information 
  • Manage proper data hygiene of donor records including, but not limited to: phone and email, duplicates, and donor records in RaisersEdge NXT
  • Responding to supporter, donor and member inquiries
  • Responsible for data entry of donor information in Raisers Edge (RE)
  • Responsible for inputting donor relationship actions into RaisersEdge NXT for Executive Director and Director of Philanthropy as needed.
  • Other duties, as assigned by the Director

KEY RESPONSIBILITIES STEWARDSHIP:

  • Deal courteously and effectively with donor calls, inquiries and concerns
  • Responsible for a wide variety of donor relations and stewardship communications, including phone and email communications, as well as custom and targeted impact reports that convey to donors the impact of their giving
  • Respond to donor inquiries and provide personalised information on Calgary Humane Society when requested
  • Craft and update communication verbiage for stewardship phone calls and donor recognition cards
  • Other duties, as assigned by the Director

Summer Job Requirements: 

Calgary Humane Society summer jobs are subsidized through the Canada Summer Jobs program which offers wage subsidies to support employers to create quality summer work experiences for youth aged 15 to 30 years.

To be eligible for this position under the Canada Summer Jobs Program, candidates must meet the position requirements as well as be:

  • between 15 and 30 years of age (inclusive) at the start of employment;
  • Canadian citizens, permanent residents, or persons to whom refugee protection has been conferred under the Immigration and Refugee Protection Act; and
  • have a valid Social Insurance Number at the start of employment and be legally entitled to work according to the relevant provincial or territorial legislation and regulations.
  • International students are not eligible.

Position Requirements: 

  • High School Diploma.
  • Model open communication and work collaboratively
  • Excellent working knowledge of MS Word, Excel, Outlook and the Internet
  • Creative, positive, team-building approach with a strong donor and client-service mindset
  • Excellent verbal and written communications skills with the ability to represent Calgary Humane Society in a friendly and professional manner
  • Ability to work independently and as part of a team with a professional disposition in a small office environment
  • Sound judgment and problem-solving skills
  • Strong organizational skills and time management skills, with excellent attention to detail
  • Ability to maintain confidentiality and demonstrated positive approach to daily problem-solving

Hourly Rate:

  • $17.00 + 6% Vacation Pay
