Who We Are:

Heritage Park is Canada's largest living history museum and offers visitors a chance to experience life in Western Canada from the 1860s to the early 1950s. The Park features historical buildings, costumed interpreters, working antiques, and various exhibits that provide insight into the region's past.

Job Overview:

Under the direction of the Director, Food Services, the Manager, Catered Events & Sales oversees the day-to-day operation of the Catering & Sales office and supervises the full-time staff and any seasonal Catering & Sales office assistant positions. The position works with the Director, Food Services to set and meet sales targets and to coordinate execution of deliverables. 

Responsibilities:

Catered Events Operations

  • Manage Catered Events, overseeing the entire planning and administration process to guarantee the seamless execution of all events and projects 
  • Ensure efficient and seamless movement through workflows including conducting site tours, collecting deposits, coordinating event logistics, collecting feedback from clients, and maintaining organized office filing systems, while prioritizing client satisfaction 
  • Supervise day-to-day operations of the department by delegating tasks, setting and monitoring workflow, reviewing work and providing feedback, ensuring work standards and expectations are met 
  • Provide guidance to the team on non-routine issues and establish standards and precedents as new circumstances arise to ensure consistent and effective decision-making 
  • Support the team by project managing an assigned share of diverse portfolio of events, including both corporate and private gatherings, ensuring seamless execution and client satisfaction 
  • Lead the implementation and upgrades of relevant software and technologies, working with team update information in systems as required, and ensuring seamless change management  
  • Guide the Catered Event Administrator on post event billing and rebooking processes ensuring accuracy and effective client and vendor relationship management 
  • Collaborate with Marketing on collateral material design and development as well as on promotional opportunities and online presence 
  • Work with Director, Food Services, Executive Chef, and Manager, Group Tourism & Event Sales on catering package, group tourism flat-sheets and menu development 
  • Contribute to the continuous improvement of the department by making recommendations on improving Catered Events & Sales office operational efficiencies 

Event Sales

  • Create and execute strategic sales plans to achieve revenue targets for catered events 
  • Identify target markets and potential clients, and develop strategies to penetrate those markets effectively 
  • Continuously assess market trends and competitor offerings to refine sales approaches 
  • Develop sales targets, produces necessary reports and assists with forecasting and budget exercises in conjunction with Director, Food Services 
  • Cultivate and maintain client connections by utilizing personalized and attentive approach, understanding needs, and ensuring effective communication to foster long-term relationships 
  • Coordinate and represent the Park at industry events and tradeshows, fostering valuable connections and promoting its offerings within the broader professional community 
  • Generate regular reports and updates on sales activities, achievements, and challenges to management 
People Leadership
  • Supports the Director, Food Services in providing strategic direction to Catered Events by implementing initiatives supporting the strategic business plan and ensuring the team understands how the department contributes to the overall success of the organization
  • Ensures consistent alignment with organizational goals by setting departmental objectives based on Heritage Park’s strategic business plan and values
  • Acts as a bridge between senior/executive leadership and frontline staff, providing essential support, facilitating clear communication, and offering guidance to ensure a smooth and effective transition during organizational changes
  • Regularly assess and enhance staff performance through ongoing feedback, goal-setting, and professional development initiatives, fostering a culture of continuous improvement and individual growth within the team
  • Support the professional development of staff by assigning relevant training, collaboratively resolving problems, and actively coaching team members
  • Participate in the recruitment, orientation and training of new staff to ensure employees are provided with complete information and resources to perform their responsibilities

Required Qualifications:

  • Post-Secondary Education in a related field (preferably in the Hospitality and Tourism sector) is required
  • Minimum 5 years’ events sales-related experience in the catering industry and event management is required
  • Minimum 2 years’ experience managing a team including delegation, change management, mentorship and performance management
  • Experience in a not-for-profit environment would be considered an asset
  • Possession of ProServe certification is considered an asset
  • Familiarity with applicable health and safety regulations, permits, and licensing requirements related to catering and events is needed
  • Ability to utilize relevant technologies such as event management software, vendor management and customer relationship management (CRM) tools to streamline processes
  • The ability to lead and motivate a team to deliver high-quality service
  • Exceptional organizational skills and keen attention to detail are imperative
  • Proficient verbal and written communication skills for effective engagement with clients, team members, vendors, and other stakeholders
  • Demonstrated excellence in interpersonal and communication skills, particularly in a client-facing setting
  • All successful candidates (over the age of 18) will be required to go through Police Information Check as a condition of employment.
