ABOUT AAFSC:

The Arab-American Family Support Center (AAFSC) is a non-profit, non-sectarian organization established in 1994 to provide culturally and linguistically competent, trauma-informed social services. Across our eight locations, we empower immigrants and refugees with the tools they need to successfully acclimate to the world around them and become active participants in the community. While we support anyone who walks through our doors, over nearly 27 years, we have developed expertise in serving the Arab, Middle Eastern, Muslim, and South Asian (AMEMSA) immigrant and refugee communities.

AAFSC works across four priority areas—Promote, Get Ready, Prevent, and Communicate—to achieve our ultimate goal of strengthening families. AAFSC promotes mental and physical wellbeing, food security, healthy relationships, and family reunification. We get our families ready to succeed, work, and lead productive lives. We prevent domestic violence, child abuse, and neglect by counseling families, offering case management services to victims of violence, and cultivating healthy relationship skills in young people. Finally, AAFSC communicates the needs of the marginalized, amplifying their voices for increased impact.

 

JOB SUMMARY:

The Anti-Violence Program Case Aide provides administrative support to the Anti-Violence Program, including information and referrals for clients. The Case Aide’s responsibilities include performing administrative tasks, such as reviewing case notes, maintaining case files, updating referral information, and assisting with the upkeep of case records. A commitment to immigrant, refugee, and low-income communities is essential for success in this role.

PRIMARY DUTIES & RESPONSIBILITIES:

Case Support

·            Review database entries by Case Managers ensuring quality of notes, completeness of documentation, and services conducted.

·            Proofread case notes to edit spelling and grammatical errors and content for best case practice. Provide a feedback loop to Case Managers and the Directors to ensure that quality issues are raised to the team, and continuous improvement can occur in the note quality.

·            As assigned by Director, assist Case Managers by making case contacts, obtaining documentation for record-keeping, and support with the development and follow-up on case plans (as needed).

·            Maintain case files and record keeping in compliance with funder & internal standards, and all existing Federal, State and City laws.

·             

Information & Referral

·            Answer incoming phone calls to provide information and referral service activities including intake, assessment and referral.

·            Provide excellent customer service.

·            Provide advocacy for clients when needed by interacting with clients and human service agencies resolving problems and providing information.

·            Submit all relevant information for referrals through the appropriate mechanisms (e.g. Internal Referral Form) and keep Case Managers and Program Director updated with the progress on referrals made or information given to clients.

·            Input all data into Apricot as well as relevant government databases on a regular basis.

·            Assist in maintaining an accurate and through database consisting of community resources.

·            Provide written and verbal feedback to the supervisor on efforts & outcomes.

 

Administrative

·            Assist in the administration of surveys and other program assessments to establish an ecosystem map of client needs and gaps in needs.

·            Support with front-desk administrative duties (answering phone calls and directing to appropriate personnel) when coverage is needed.

·            Prepare reports and paperwork for Program Director.[MD1] 

·            Take notes during team meetings and maintain repository of notes & agendas.

 

Quality Assurance, Communication and Documentation

·            Collaborate across the team by working with program leadership to implement data driven strategies to their programs, as required by evolving programmatic or reporting needs.[MD2] 

·            Support with organizing appropriate client intake paperwork, surveys, and forms. [MD3] 

·            Appropriately follow incident reporting procedures (as needed).

·            Maintain professional relationships with FJC personnel as well as other service providers and staff.

·            Regularly collaborate and communicate with AAFSC staff by responding to emails, maintaining an up-to-date outlook calendar, participating in supervision meetings, and supporting internal needs.

 

Ambassador & Champion

·            Every AAFSC team member serves as an ambassador of the organization and champion of AAFSC’s mission, vision and values. This includes the following:

o   Cultivate relationships on behalf of and in support of the organization in partnership with Senior Leadership and the Resource Development team. This includes being sensitive to and aware of others, providing every client, partner and participant with high- quality service, professional communication, and follow through, and always keeping Senior Leadership and the Resource Development team aware of any opportunities, challenges, or updates.

o   All team members are expected to support the Resource Development team with any requests in a timely manner, including, but not limited to: grant applications, reports, attendance at meetings, hearings, or other events, and sharing of AAFSC social media, flyers, and other externally-facing communications.

o   Always act with integrity, positivity, dedication, and professionalism within the office and externally. This includes, but is not limited to, email communication, verbal communication, communication with colleagues and peers, communication with clients, or communication with external partners or agencies.

 

Other Duties and Responsibilities

·            Participate in AAFSC meetings and internal and external trainings.

·            Assist in preparation for city and/or other agency program audits.

·             Perform other duties assigned by Program Director.

 

BACKGROUND & POSITION REQUIREMENTS:

·            Bachelor’s degree required.

·            Two years of experience in social services preferred.

·            Familiarity with using client databases and maintaining case files.

·            Strong writing and communication skills required.

·            Excellent organizational, time-management, follow-up, and administrative skills with attention to detail.

·            Self-starter with the ability to work independently, and as a part of a team, in a fast-paced deadline-driven environment.

·            Bilingual fluency in English as well as one of the following languages is a plus: Arabic, Urdu, Bangla/Bengali, or another language.

·            Proven ability to work independently and meet deadlines.

·            Passion for AAFSC’s mission and vision.

·            Job contingent on pre-employment background check and fingerprint clearance.

·            U.S. Work Authorization required.
