ABOUT AAFSC:
The Arab-American Family Support Center (AAFSC) is a non-profit, non-sectarian organization established in 1994 to provide culturally and linguistically competent, trauma-informed social services. Across our eight locations, we empower immigrants and refugees with the tools they need to successfully acclimate to the world around them and become active participants in the community. While we support anyone who walks through our doors, over nearly 25 years, we have developed expertise in serving the Arab, Middle Eastern, North African, Muslim, and South Asian (AMENAMSA) immigrant and refugee communities.

AAFSC works across four priority areas—Promote, Get Ready, Prevent, and Communicate—to achieve our ultimate goal of strengthening families. AAFSC promotes mental and physical wellbeing, food security, healthy relationships, and family reunification. We get our families ready to succeed, work, and lead productive lives. We prevent domestic violence, child abuse, and neglect by counseling families, offering case management services to victims of violence, and cultivating healthy relationship skills in young people. Finally, AAFSC communicates the needs of the marginalized, amplifying their voices for increased impact.

JOB SUMMARY:
The Database and Evaluation Coordinator provides support for the Arab-American Family Support Center’s data management, quality assurance, program evaluation, and reporting needs. The Database and Evaluation Coordinator’s primary responsibility is the administration, oversight, and management of program databases and datasets. This position supports all aspects of AAFSC’s data ecosystem, including monitoring data collection processes, managing a high-quality internal CRM, maintaining the processes by which data is synthesized and communicated internally and externally, and supporting AAFSC staff who interact with the data systems. This role is also responsible for maintaining robust quality assurance protocols, ensuring that the data collected and used at AAFSC is of the highest quality and integrity and meets agency needs. This role provides support for AAFSC’s program evaluation and reporting needs by ensuring that the systems are serving its purposes related to capturing data and reporting impact.

 

The person in this role will be organized, have high attention to detail, maintain confidentiality and act with the utmost discretion to support AAFSC’s priority areas as well as act as an ambassador & champion of AAFSC. A commitment to immigrant, refugee and low-income communities is essential for this role.

DUTIES AND RESPONSIBILITIES:

Database Administration and Quality Assurance

·   Manage AAFSC’s internal Constituent Relationship Management (CRM) system to ensure all program data is complete, accurate, clean, and up to date.

·   Manage a schedule of quality assurance activities across all agency programs to identify data quality and data integrity issues.

·   Leverage the existing quality check reports in databases for quality assurance purposes, and design and build custom reports as needed.

·   Proactively identify and implement opportunities for data collection and data process improvements to maximize data quality/integrity and manage evolving programmatic and reporting needs.

·   Implement and enforce data security policies using industry best practices.

 

Staff Support and Training

·   Provide program specific data tracking training to new staff.

·   Design and provide refresher training as needed.

·   Manage training resources and develop new materials as needed.

·   Manage internal database systems, including staff account management, technical troubleshooting with the CRM system’s technical support team as needed.

·   Provide ongoing support to the development of a “Data Culture†within the organization, where the importance and value of data and the processes by which it is collected and used are appreciated by all and prioritized in everyday work.

·   Build and continue to grow cordial supportive relationship with the frontline staff with data collection responsibilities.

 

Reporting

·   Support in managing the monthly and quarterly internal reports to be shared across all agency programs.

·   Produce and publish the internal reports in a comprehensive and clear manner, including the use of enhanced data visualizations.

·   Support the Resource Development team in synthesizing, organizing, and communicating program data for use in high-quality, compelling, and data-driven grant proposals and reports.

·   Manage internal data collection and processes and activities such that they support a robust internal and external reporting system.

·   Actively participate in and influence discussions around reporting requirements, data collection, data visualization and data analysis.

 

Evaluation

·   Manage a schedule of evaluation milestone activities across all agency programs to identify data quality and data integrity issues.

·   Ensure that the programs continue to administer and meet the evaluation requirements.

·   Assist with migration of evaluation results from several database systems to the agency’s central CRM system.

·   Follow up with individuals and programs for information relevant to evaluation projects as needed.

 

Ambassador & Champion
• Every AAFSC team member serves as an ambassador of the organization and champion of AAFSC’s mission, vision and values.

This includes the following:

o Cultivate relationships on behalf of and in support of the organization in partnership with senior leadership and the Resource and Development team. This includes being sensitive to and aware of others, providing every client, partner and participant with high-quality service, professional communication, and follow through, and always keeping senior leadership and the Resource and Development team aware of any opportunities, challenges, or updates.
o All team members are expected to support the Resource and Development team with any requests in a timely manner, including, but not limited to: grant applications, reports, attendance at meetings, hearings, or other events, and sharing of AAFSC social media, flyers, and other externally-facing communications.
o Always act with integrity, positivity, dedication, and professionalism within the office and externally. This includes, but is not limited to, email communication, verbal communication, communication with colleagues and peers, communication with clients, or communication with external partners or agencies.

Other duties and responsibilities
• Participate in AAFSC meetings and trainings, as well as any off-site meetings and trainings assigned by supervisor.
• Perform other duties assigned as necessary.

BACKGROUND AND POSITION REQUIREMENTS 

• Bachelor’s degree required. Bachelor’s degree in the computer science, data science, statistics, computer engineering, or a related field preferred.
• At least two years of professional experience with database management, preferably in a non-profit, start-up, or resource constrained setting.
•  Experience designing reports, synthesizing and analyzing data, and producing data visuals (e.g. with software like Excel, Tableau, or Hive).

·   Strong computer skills and proficiency with technology including Microsoft Office products, CRM, and databases.

·   Track record of measurably improving processes and/or outcomes.

·   Experience tracking and analyzing data to identify best practices and opportunities for improvement, which will translate to distilling lessons for inclusion in grant proposals or corrective action at AAFSC.

·   Excellent organizational, time-management, follow-up, and administrative skills with a strong attention to detail.

·   Able to thrive in a busy work environment, be innovative, and make decisions independently.

·   Must be able to maintain client confidentiality.

·   Must be able to work collaboratively with all layers of the organization.

·   Passion for AAFSC’s mission and vision.

·   U.S. Work Authorization required.
