STATUS: NON-EXEMPT 

 

Since 1999, WomenHeart: The National Coalition for Women with Heart Disease has been the nation’s only patient-centered organization solely devoted advancing women’s heart health through patient support, community education, and advocacy. WomenHeart is both a coalition and a community of thousands of members nationwide, including women heart patients and their families, health care professionals, health advocates, all committed to helping women live longer, healthier lives.  

 

Position Summary  

 

In order to help ensure the organization's overall effectiveness and efficiency, The Executive Coordinator & Board Liaison position works as the CEO's trusted partner. They serve as the primary point of contact for internal and external matters pertaining to the CEO. The Executive Assistant to the President and Board Liaison also serves as a liaison to the board of directors and senior management teams; organizes and coordinates executive outreach; and provides support for other departments as needed.  

 

This position is fully remote. Being based in the Eastern Time Zone is preferred, but candidates all over the United States will be considered.  


Duties and Responsibilities 


CEO Support: 

  • Plans and oversees a wide range of administrative tasks for the CEO, such as keeping track of an incredibly busy calendar of appointments, writing and preparing occasionally private correspondence, organizing complex and specific domestic and international travel plans, itineraries, and agendas, and gathering paperwork for meetings involving travel. Planning, coordinating, and ensuring that the CEO's schedule is adhered to and respected are all done in collaboration with the Executive Assistant to the CEO. 
  • Conducts research, prioritizes, and follows up on incoming issues and concerns addressed to the CEO, including those that are sensitive or confidential, and then chooses the best course of action, referral, or response. 

  • Support the CEO in overseeing implementation of the Strategic Plan, tracking deadlines, metrics and other deliverables as appropriate. 
  • Works closely and effectively with the CEO to keep her up to date on upcoming commitments and responsibilities and follows up as needed.

  • Additional tasks as assigned. 
  • Prioritizes competing demands; takes prompt, proactive action; and follows through on tasks until they are successfully completed, frequently under deadline pressure.

Board Liaison: 

 

    • Serves as the CEO’s administrative liaison to WomenHeart’s Board of Directors 
    • Oversees scheduling and all logistical planning for board support, including regular meetings, committee meetings, and correspondence management. As needed, assists board members with travel arrangements, lodging, and meal planning. 
    • Works closely with the CEO, Board Chair, and Board Secretary to ensure that materials (such as requests, agendas, schedules, notices, and resolutions) for the Board and Board Committee meetings are prepared, published, and distributed in a timely manner. 
    • Oversees the board document filing website alongside the board secretary. 
    • Assist with board administrative requests as needed.  

Development & Programs Support: 


    • Maintain a structure within the database to adequately identify specific segments of data for various analysis and targeted marketing efforts. 
    • Help with outreach to individual supporters and key stakeholders, including donation acknowledgement letters and birthday cards; 
    • Prepare internal and external organizational documents for team members and partners. 
    • Schedule meetings and appointments and manage travel itineraries. 
    • Coordinate and/or support internal and external event planning and coordination functions, including determining attendees, flow of information to attendees, equipment, staffing, catering, and logistics. 
    • Organize and prepare complex documents requiring the integration of multiple office technology and software applications.
