The Administrative Assistant plays a significant role in financial processing, facilitating communication, and supporting administration at The Mustard Seed.  The Administrative Assistant is also the first person of contact for individuals phoning in or walking through the front door of the Community Support Centre.  

Position Type: Full-time  
Schedule: 40 hours per week, Monday to Friday 8:00am - 4:30pm
Reporting to: Office Manager

  • Administrative Support
  • Departmental Support to the Community Development Director, Director of Programs and Director of Housing and Clinic Development.  This includes:
  • Screening, redirecting and responding to phone calls in a professional manner
  • Processing mail and email correspondences for several inboxes
  • Drafting and preparing reports, correspondences and communications
  • Preparing presentations using PowerPoint or other presentation software
  • Arranging all travel requirements
  • Work with the Executive Assistant to the Executive Director to streamline processes, procedures and occasional tasks
  • Participate in all staff training (e.g. First Aid, SafeTALK, Nonviolence) and attend monthly general meetings and support meetings with supervisor

Financial Support

  • Process all donations in a timely fashion
  • Record donor contact information in the appropriate software
  • Input monthly rent cheques/cash received in housing software
  • Reviewing and reconciling expense reports, corporate credit card statements and invoices
  • Be an Edmonton staff liaison with central services finance and donor relations departments
  • Deposits, invoicing and other financial tasks as they arise


  • Be the first point of contact at the Community Support Center and welcome all visitors by phone, in person or email in a professional manner
  • Greet each person arriving with warmth and friendliness, while being attentive to their request
  • Ensure that clients, donors, volunteers and visitors have a positive first impression and are directed to the appropriate person
  • Ensure a welcoming reception area and maintain office equipment for the front office (postage meter, photocopier)
  • Pickup and send out mail and regular courier packages
  • Other duties as assigned



  • Finance or Business Administration certificate or diploma would be an asset
  • 3 years of experience in an administrative role
  • Financial experience is required
  • Must be able to relate well to people from diverse backgrounds
  • Must possess strong oral and written communication skills
  • Positive attitude with strong customer service skills
  • Proficient in Microsoft Office Software and database management
  • Strong organization skills and ability to multi-task and prioritize
  • Able to pick up and implement new skills quickly and adapt to change



  • May include travel between Edmonton sites to pick up mail, donations or supplies
  • This is a full-time permanent position at 40 hours per week Monday to Friday
  • Regular contact with a diverse group of individuals and may encounter difficult behaviors from time to time
  • Moderate mental effort with periods of high-volume workload and multi-tasking
  • Office setting - extended computer use, sitting, reaching, standing, moderate lifting (30 lbs) and walking
  • Employment Security Check is required
