The Office Manager is responsible for maintaining all aspects of sales office operations ensuring the sales team has what they need to successfully sell real estate at Kohanaiki. Additionally, the Office Manager will be responsible for managing the escrow process, managing standing inventory and club membership for new Hale and Kohanaiki Club members. Requires Hawaii State Real Estate License that is Active and in Good Standing.

 

RESPONSIBILITIES & ACCOUNTABILITIES

 

  • Generate purchase & sale contracts for the sales team
  • Tracking of all escrow transactions through to close for real estate sales, Hale Club sales, and new Club memberships 
  • Assist new owners and members with execution of Hale club  & Kohanaiki Club membership documents
  • Process Background Checks while maintaining sensitive and confidentialinformation
  • Responsible for transition of homes from Developer or Seller to the new Buyer insuring all milestones are met and recorded
  • Assist sales team with member relationship management as needed
  • Work with the escrow company in the compilation of documentation required for real estate sales at Kohanaiki 
  • Manage Hale Club & Kohanaiki Club Developer & Resale Memberships and waiting lists 
  • Timely opening of the sales center 
  •  Office operations management (supplies, postage, mailings) 
  • Lead sales center reception duties
  • Post and maintain MLS and Website listings for developer and resale product
  • Responsible for timely accurate reporting to ownership group,
  • Answer the main office line, perform light qualification of inbound calls
  • Ensure accurate entry of data into CRM system used in generating internal and client reporting including but not limited to tours, sales activity, escrows, and closings through quality assurance, training, and auditing of data
  • Ensure all equipment (photocopier, printer, phones, golf carts) are fully operational
  • Meetings: Construction, Sales & Marketing,
  • Standing Inventory Management- process all vendor invoices, schedule & verify cleanings, evaluations and scheduling needed repair work
  • Other duties as assigned
