About the Role

Georgia Association of REALTORS® (GAR) has an exciting opportunity for an experienced External Affairs Coordinator to join our dynamic team. This position is an in-office, full-time, Non-Exempt, hourly, position.

Reports to: External Affairs Officer

Schedule: Monday through Friday, from 8:45am – 5:15pm with a 30-minute lunch break, coordinated with the supervisor.  Occasional after-hours reception duties as needed.

Position Description:

Provides administrative support to the Georgia Association of REALTORS operations located at the Downtown Office, as well as support for Senior Staff and the External Affairs programs. Job duties and descriptions below define some duties of this position and are subject to change at any time.  Light lifting required.

Duties and Responsibilities:

  • Shall coordinate with appropriate staff the affairs of the External Affairs Division. 
  • Shall greet all members/visitors in the GAR Downtown Office.
  • Shall assist with preparing class and meeting materials as requested.
  • Shall set up meeting space for meetings and education classes as requested by the staff liaison(s) and if possible, to ensure it is set up the day before
  • Understands dynamics and structure of Association and External Affairs Division to handle inquiries that come through.
  • Stays abreast of programs, products, services, functions, and events occurring in the Association in order to give proper information when requested.
  • Shall manage mail coming in and out of the Downtown Office. Opens (if intended recipient is not indicated) and distributes incoming mail, documents, and packages to GAR staff in a timely manner.
  • Shall ensure that Downtown Office common areas are tidy and stocked and report issues to the supervisor. 
  • Shall coordinate the ordering of office supplies including toners and other items requested by advocacy staff appropriately.
  • Shall communicate with appropriate GAR staff any office maintenance issues, including scheduling appointments with appropriate vendors, researching options for vendors, monitoring regular vendor’s work – such as janitorial company.
  • Shall oversee and schedule meetings on the internal office calendar.
  • Shall order food for meetings and classes as requested by the staff liaison(s)
  • Assists External Affairs Officer with general administrative duties as requested.
  • Shall coordinate attendance at external events for Senior Staff and the Chief Executive Officer.
  • Due to the responsibilities of the position, there may be PTO black-out dates as coordinated with supervisor 
  • Assist in the coordination of External Affairs events (i.e. NAR conferences, GAR Conferences and regional meetings)
  • Assist with submitting grant applications.
  • Maintain supplemental member and contact databases
  • Compile External Affairs announcements for communications, etc.
  • Other duties as assigned by the External Affairs Officer, or the Chief Executive Officer

 

Qualifications:

The ideal candidate will bring:

  • Experience in customer or member service preferred. 
  • Must be computer literate (Microsoft Office and/or G Suite) and able to work independently. 
  • Office management background preferred.  
  • Must be detail oriented.

 

Education:

Associate or bachelor’s degree or three to five years’ equivalent experience
