Position Overview

The Fleet Portfolio Manager (FPM) is responsible for owning and managing a defined portfolio of fleet customers at Schroeder Truck Repair. This role blends the responsibilities of a traditional service advisor with those of an account manager, with full accountability for customer relationships, revenue growth, gross profit, preventive maintenance compliance, and overall fleet uptime.

Fleet Portfolio Managers act as the primary point of contact for their assigned fleets and operate as the “CEO” of their account book, ensuring long-term customer retention, predictable revenue, and profitable operations — while also actively contributing to the growth of new fleet business for Schroeder.

Key Responsibilities

Fleet Account Ownership
  • Serve as the primary contact for assigned fleet accounts
  • Build long-term, trust-based relationships with fleet owners, managers, and dispatch
  • Proactively manage fleet needs rather than reacting to breakdowns
  • Ensure consistent communication regarding truck status, approvals, and scheduling

New Account Prospecting & Business Development (NEW)
  • Identify and pursue new fleet opportunities aligned with Schroeder’s target customer profile
  • Build relationships with prospective fleets through calls, visits, referrals, and networking
  • Educate potential customers on Schroeder’s maintenance capabilities, uptime focus, and value proposition
  • Convert leads into long-term fleet accounts in partnership with management
  • Work closely with marketing and outreach efforts that drive new fleet business to Schroeder

Maintenance & Repair Management
  • Coordinate all PMs, DOT inspections, repairs, and emergency work for assigned fleets
  • Ensure preventive maintenance schedules are followed and enforced
  • Work with Shop Foreman to prioritize fleet work and minimize downtime
  • Review digital inspections, diagnostics, and repair recommendations before presenting to customers

Sales & Gross Profit Responsibility
  • Present clear, accurate estimates and secure approvals
  • Identify and sell necessary repairs, PMs, and maintenance programs
  • Protect labor rates, parts margins, and diagnostic charges
  • Own gross profit performance for assigned accounts

Scheduling & Capacity Planning
  • Proactively schedule fleet work in advance
  • Balance shop capacity with fleet needs
  • Reduce emergency repairs through planning and PM compliance
  • Coordinate mobile service when applicable

Reporting & Accountability

Track and manage KPIs for assigned fleet portfolios, including:

  • Revenue
  • Gross profit
  • PM compliance
  • Comebacks
  • Fleet retention

Use shop management software and reporting tools to monitor performance and provide regular updates to management on fleet health and opportunities.

Internal Coordination
  • Work closely with management, foreman, and parts department
  • Ensure accurate job documentation and billing
  • Coordinate parts availability and repair timelines
  • Escalate issues early to prevent customer dissatisfaction

Success Metrics (KPIs)

  • Revenue growth per assigned fleet
  • Gross profit margin
  • PM compliance percentage
  • Fleet retention rate
  • Reduction in emergency and unscheduled repairs
  • Customer satisfaction and repeat business
  • New fleet accounts added to portfolio (growth metric)

Required Skills & Qualifications

  • Experience as a service advisor, account manager, or fleet coordinator (diesel/trucking preferred)
  • Strong understanding of truck maintenance, PMs, and repair workflows
  • Ability to manage multiple accounts simultaneously
  • Excellent communication and relationship-building skills
  • Strong organizational and follow-through skills
  • Comfort with KPIs, reporting, and accountability
  • Ability to protect margins while maintaining customer trust
  • Comfort prospecting and speaking with new potential customers

Compensation Structure

  • Base pay
  • Performance-based commission tied to gross profit of assigned fleet portfolio
  • Incentives aligned with PM compliance, retention, and new account growth
  • Total compensation designed to reward ownership, performance, and long-term customer value
