Director of Volunteer Services
The Director of Volunteer Services will support the mission of Feeding Southwest Virginia and is responsible to recruit and manage volunteers to fill task driven positions that are determined to be essential to the successful operation of the enterprise on a continuing day-in day-out basis. Maintain open communications with staff members for awareness of additional volunteer opportunities and needs. Will direct and manage the Quality Assurance department which includes being responsible for sorting, cleaning, and repackaging of donated salvage product to prepare it for distribution. Work in collaboration with the Development & Volunteer Services Coordinator at the Abingdon facility.

POSITION ESSENTIAL FUNCTIONS AND RESPONSIBILITIES:
To be successful in this role, an individual must be able to perform in a satisfactory manner the functions or responsibilities listed below.
1. As the Director of Volunteer Services, he/she will demonstrate a professional demeanor in interactions with all FSWVA staff, agencies, volunteers, donors, government officials and the general public in ensuring a compliant safe facility and environment.
· Keep informed and consistently practice the policies and procedures of Feeding Southwest Virginia, Feeding America national office, and other regulations pertaining to food handling, storage, sanitation and disposal.
· Supportive knowledge of Feeding Southwest Virginia and all programs.
· Complete ServSafe Food Handler training within three months of employment and keep current.
2. The Director of Volunteer Services reports to the Chief Development Officer, is an integral member of the management team and is responsible in the overall direction for the Volunteer Program.
- Serve as a member of the management team and as such is responsible for providing leadership in decision-making and vision building for the Food Bank.
- Advise and assist management with enhancing a recurrent and reactive corp of volunteers.
- Coordinate and support special events and attend as needed which may include after hour or weekend events. Receive and/or initiate new special event opportunities, assemble the optimum Food Bank team to plan and manage each specific special event, and provide appropriate volunteer support for each special event.
- Develop a volunteer recognition program with a strategy for retaining volunteers.
- Complete a “needs assessment” to determine the extent to which volunteers are to be involved in the enterprise.
- Enhance the volunteer recruiting program by exploring new concepts and implementing them as appropriate.
- Manage and coordinate locality volunteer programs including but not limited to The City of Roanoke and Roanoke County Department of Social Services and Goodwill Industries Workforce Development Center.
3. The Director of Volunteer Services will manage the Quality Assurance department and the work performed by the Quality Assurance Coordinator.
- Keep informed and ensure consistent practice of the policies and procedures of Feeding Southwest Virginia, Feeding America National Office, AIB, USDA, FDA and government regulations pertaining to food handling, sanitation and disposal.
- Ensure the food is properly and safely handled at all times following effective and established standard operating processes in processing donated salvage product.
4. In working as a contact for the organization, demonstrates a professional demeanor in all interactions with member partners, visitors, volunteers, donors and the general public.
- Prepare and maintain volunteer information forms.
- Prepare a volunteer training program for each skill required.
- Share techniques, concepts and processes with the Abingdon Development and Volunteer Services Manager.
- Train volunteers and engage them appropriately.
- Track volunteer hours and reporting in database Volunteer Hub.
- Schedule assignments and tours for volunteer groups and walk in volunteers.
- Maintain and distribute a weekly/monthly calendar to appropriate departments in scheduling volunteers.
- Obtain follow up and closing statements regarding volunteer experience.
- Attend volunteer fairs for recruitment.
- Recruit new volunteers.
- Maintain Volunteer Handbook.
- Coordinates possible CSW assignments with the court appointed FSWVA liaison as needed.
- Ensure that departmental SOP’s are current.
Other functions:
· Promote a cooperative spirit within the organization and among internal and external participants.
· Perform other duties as assigned by the Chief Development Officer and President and CEO.
Interface: Responsible in maintaining positive relationships
Interfaces with the general public, media, volunteers, community service workers, donors, customers, suppliers, staff in Salem, CSC and Abingdon, Feeding America, agencies, and key contacts.
Minimum Skills and Qualifications required to capably perform in the position
Training, Education and Experience:
Education:
· Bachelor’s Degree and/or equivalent combination of education and/or two years’ experience in volunteer management required.
Experience:
· Strong supervisory and leadership skills, to include delegation, strategic management, motivational skills, managing conflict, coaching/counseling, mentoring, etc. required.
· Two years of experience recruiting and managing volunteer based work force or equivalent required.
Knowledge, Skills and Abilities:
· Position requires a high-degree of professionalism, trustworthiness and ability to handle highly confidential information.
· Incumbent must have excellent public speaking and presentation skills, strong supervisory, motivational and communication skills experience demonstrated in previous office settings.
· Must have excellent experience in advanced computer skills and be capable of demonstrating exceptional analytical skills in reporting.
· Demonstrated ability to work independently and meet deadlines while managing multiple tasks and changing priorities required.
· Must be able to react to time-sensitive matters, as well as manage complex long-term initiatives.
· Strong interpersonal skills and ability to interact with internal and external audiences are required.
· Ability to develop and maintain productive working relationships with all associates within the organization is necessary.
· A strong customer service ethic and keen interest in creative approaches to individual and team management a plus.
· Limited occasional evening and weekend work required for special events.
· Limited travel to branch operation site is required.
· Must be able to understand instructions and effectively demonstrate quality results.
· Required attention to detail.

Mathematical Skills:
- Ability to perform basic math functions.
Technical/Computer Skills:
- Proficiency required in the use of Microsoft Office Suite products such as Word, Excel, Power Point and Outlook are necessary.
- Capable of learning and independently operating equipment required for the position.
Other Skills and Abilities:
- Ability to maintain confidentiality at all times.
- Ability to work with people of diverse backgrounds.
- Must be reliable and dependable.
- Maintain compliance with established Food Bank directives, policies and external regulations.
Licenses and Certificates:
Valid Driver’s License and own transportation to work required. Maintain safe driving record in driving company vehicles.

The position operates primarily in an office setting within the food bank. This position requires sitting at a desk and in meetings for long periods of time and involves extensive computer and phone work with frequent interruptions. Occasional travel to meetings, functions, and special events is normal. Occasionally, may be required to respond to organizational needs outside of normal working hours. The employee may be required to push, pull, lift, and/or carry objects up to 30 pounds. With forklift traffic in the facility and product stacked and stored throughout, this position requires someone who is mobile and who can hear and watch for traffic and normal hazards of a warehouse environment. Occasionally, conducts work in an external environment, requiring driving. Conducts work in a fast-paced environment.
