The Outfitters Reservations & Activities Supervisor is a Moonlight Outfitters position requiring strong customer focus, communication skills, leadership, positive personality and ability to relate to and build trust with Moonlight Club members, families, and guests in a safe and fun learning environment.  The Reservations & Activities Supervisor is responsible for receiving, scheduling and confirming all Outfitters activities. This position also requires experience facilitating outdoor activity experiences including but not limited to fat tire biking, snow shoeing, Nordic skiing, hiking, mountain biking, sporting clays, and archery. Safety and fun within a unique outdoor experience are the ultimate goals of the Moonlight Outfitters.

Essential Job Functions:


Summer/ Winter:


      Creates and maintains office forms and procedures, and assists with administrative tasks.

      Answers central telephone system and directs calls accordingly.

      Receives the public and answers questions, in person and by telephone; responds to inquiries from employees, members and guests, when necessary, refer to the appropriate person or department.

      Prepares outgoing mail; sorts and distributes incoming mail.

      Pick up and deliver messages, documents, packages, and other items across the property.

      Duplicates and distributes materials.

      Composes, types and edits correspondence, reports, memoranda and other material.

      Assists members and guests with the use of department facilities.

      Trains, schedules, and supervises seasonal reservations staff.

      Supervises seasonal activities staff.

·         Communicate all concerns, questions, and scheduling issues with Director/Manager.

·         Other duties as assigned by manager.

·         Participate in all required training and educational clinics.

·         Read and understand all safety policies and guidelines. Ask supervisor/ director for clarification on any policy you may not understand.

·         Attend all safety training meetings and clinics. Maintain current knowledge of all safety procedures.

·         All Moonlight Outfitters employees must represent their profession and department in a professional manner at all times to members, guests, coworkers, and other departments.


·         Plan, organize, and provide safe, fun, and professional instruction/guiding within the guidelines of Moonlight Outfitters for all abilities.

·         Check out and return equipment, clearly explain usage, fit members and guests for snowshoes, hockey and ice skates, and Fat Bikes.

·         Assist members and guests with directions to trails and other outdoor activities.

·         Participate in and assist with special events at Ulery’s Lake Camp, Moonlight Lodge, and on mountain as business demands require, including Member Ski Race Series, and First Tracks events.

·         Maintain Ulery’s Lake Camp facilities, including snow blowing and shoveling, building fires, and cleaning as necessary.




·         Adheres to Moonlight Club and Moonlight Outfitters policies and procedures.

·         Performs duties as workload necessitates.

·         Maintains a positive and respectful attitude.

·         Consistently reports to work on time prepared to perform duties of position.

·         Meets departmental productivity, organization and consistency standards.





·         Receive, schedule, and confirm all Outfitters activities bookings via phone, email, or in person.

·         Act as software administrator for reservations software system. Maintain systems and make changes/ additions as necessary.

·         Work closely with Activities Manager and Director in scheduling staff/ activities bookings appropriately.

·         Maintain detailed familiarity with Outfitters activities programs to accurately describe products to Members/ guests when making bookings.

·         Excellent written and verbal communication skills.

·         Telephone skills.

·         Proficiency with Microsoft office including Excel, Outlook, and Word.

Education and Experience:


      Valid driver’s license.

      High school diploma or equivalent.

      Experience working in an office environment.

      Current wilderness first aid, EMT, or similar certification.

      Experience guiding or facilitating client based winter and summer recreational programs in terrain similar to that found in SW Montana.

      Experience utilizing GPS systems, topographical maps, and compasses for navigational purposes.






      This job operates in a professional office environment but will require some time outside. This role routinely uses standard office equipment such as computers, phones, photocopiers, filing cabinets and fax machines.

      While performing the duties of this job, the employee is regularly required to talk or hear. The employee is frequently required to stand; walk; use hands to finger, handle or feel; and reach with hands and arms.



·         Ability to stand, sit, Nordic ski, snowshoe, alpine ski, for six to ten hours a day as required.

·         Ability to use various tools and equipment as required.

·         Work outside in all temperatures and conditions six to ten hours a day as required.

·         Bend at the waist, twist upper body, kneel, crawl, climb, reach above shoulders, flex and extend ankle, knee, and hip joints.

·         Lift and carry up to 75 lbs., push and pull 10-20 lbs.

·         Ability to work as many as 30 days consecutively during peak periods.
