Part-Time Volunteer Programs Assistant

Reports to: Volunteer and Internship Programs Manager

Position Overview:

As part of the Volunteer & Internship Team, the PT Volunteer Programs Assistant  assists with the advancement of the department through communicating, scheduling, improving and fulfilling the volunteer and internship needs for all ArtsQuest related programming, as well as interacting with volunteers, interns, patrons, partners and staff at various ArtsQuest events. In addition, this role will work with the Manager to recruit new corporate partners while also maintaining relationships with existing partners for Musikfest.

   Job Responsibilities:

  • Provide courteous, friendly and efficient service to volunteers and interns by phone, electronically, in writing and face to face.
  • Data entry and updating of records, schedules and contact information in Raisers Edge, Better Impact or other database software.
  • Track and maintain volunteer hours for the Volunteer Appreciation Program.
  • Schedule volunteers for all ArtsQuest programs as needed and communicate schedules and/or changes.
  • Organize and lead volunteers on the ground at ArtsQuest events throughout the year.
  • Act as an advocate for volunteers and interns among ArtsQuest staff.
  • Assist with all aspects of training sessions, including the preparation of training materials and presentations.
  • Attend monthly Volunteer Committee meeting.
  • Maintain relationships and schedule corporate volunteer groups for Musikfest.
  • Other duties as deemed appropriate and assigned by the Volunteer and Internship Programs Manager.

 Knowledge, Skills and Abilities Required:

  • Outstanding interpersonal skills; the ability to establish and maintain effective working relationships with the public, other staff members as well as vendors, sponsors, members, partners and volunteers.
  • Computer/web proficiency including Excel, Word, PowerPoint and Outlook is required. Previous experience with Better Impact or Raiser’s Edge is helpful.
  • Ability to multi-task with attention to detail.
  • Ability to see, speak, hear, sit, stand, walk, stoop, bend and lift maximum of up to 20 pounds occasionally; Must be physically able to walk measurable distances and stand for extended periods of time during events and festivals.
  • A passion for the arts; sense of humor, sense of fun.
  • High school diploma or its equivalent is required; Associates or Bachelors Degree in a related field preferred.
  • Ability to follow and communicate directions effectively, both orally and in writing, and on the telephone
  • Ability to work a flexible schedule, including evenings, weekends and holidays when necessary; some extended and irregular hours will be required.
  • Ability to work with minimal daily supervision, concentrate and accomplish tasks despite interruptions.
  • Ability to read, write and communicate in English; bi-lingual ability in Spanish or other language is a plus.
  • Must have at least (2) two years experience in interacting with the public in a customer service role; experience in a non-profit environment a plus.
  • The ability and desire to work in a team environment.

The employee frequently is required to stand; walk; use hands to finger, handle or feel; and reach with hands and arms.  The employee frequently is required to lift up to 10 pounds frequently, up to 25 pounds occasionally, with or without reasonable accommodation.

Employee is frequently required to travel between our facilities, all within 1 mile of one another using reliable transportation.  Employee is occasionally required to travel offsite for business meetings as needed.

An hourly pay rate has been established and will be discussed with qualified candidates commensurate with experience within budgetary guidelines.
