BILINGUAL ADMINISTRATIVE ASSISTANT, LEARNING ASSESSMENT PROGRAMS
Full-time position, fixed-term contract June 2026
Current annual salary range: $45,911–$53,376, depending on experience and qualifications

The Administrative Assistant, Learning Assessment Programs supports the successful implementation of flagship projects that assess the knowledge and skills of students at the pan-Canadian and international levels. These projects include the Pan-Canadian Assessment Program (PCAP), the Progress in International Reading Literacy Study (PIRLS), the Programme for International Student Assessment (PISA), and the Trends in International Mathematics and Science Study (TIMSS).
This role supports all the operational and administrative work related to the large-scale assessments and associated coding sessions, as well as meetings and events coordinated by the unit.
This position reports directly to the Coordinator, Learning Assessment Programs.
Key responsibilities
- Provide operational, administrative, and clerical support
- Organize, prepare, and submit documents for translation and copy-editing, according to established processes
- Prepare bilingual communication materials
- Communicate with and disseminate information to provinces and territories via the Extranet (CMEC’s intranet) and other communication platforms used by the unit
- Maintain member records on the Extranet and, when required, facilitate communication between and among members and staff
- Organize and oversee all logistics for teleconferences, online and in-person meetings, and coding sessions. Typical duties include: planning venue logistics, preparing and disseminating meeting documents, and liaising with multiple vendors
- Assist with data entry and verification, including following up with schools and working with data and administrative teams to support the verification of information
- Keep track of unit-level initiatives, actions, and communications, and coordinate required follow-up activities
- Liaise with key partners, consultants, and suppliers, as needed
- Respond to inquiries from provinces and territories, school contacts, test administrators, and external partners, and assign follow-up requirements to appropriate staff, as required
- Assist with expense claims, including following up with schools and test administrators and working with the Financial Project Officer to verify information
Key qualifications
- •A minimum of two years’ experience providing administrative support
- Excellent command of English and French, both spoken and written
- Exceptional organizational and task-management skills, together with the ability to plan, prioritize work, multitask, and meet tight deadlines
- Excellent communication, interpersonal, and relationship-building skills
- Strong follow-up skills for project planning and processes
- Excellent problem-solving skills
- Strong attention to detail
- Ability to work independently and as part of a team
- Excellent computer skills (MS Office, in particular), including the ability to format documents and manipulate spreadsheets
- Ability to exercise sound judgment
- Ability to exercise discretion and tact in sensitive and confidential situations, and ability to handle confidential and sensitive documents
- Knowledge of, and sensitivity to, intergovernmental relations is considered an asset
