General Summary: The Assistant Controller works directly with the controller in support of the Accounting Department functions. The Assistant Controller will assist with monthly financial close, preparation of financial statements and analytical reports, processing and internal audit of payroll, budget preparation, and other administrative duties, as assigned.  As a member of the accounting department, this position will support other finance related processes, including cash room tasks, and document retention management. 


Essential Functions:


Primary Function:

  • Daily and monthly accounting transactions, including preparation of journal entries, bank reconciliations, schedules, accruals, cash receipts and confirmation of fund balances.  Confirmation, reconcilement and preparation of work papers to support these transactions;

  • Perform analysis through active query, report development, data download and the creation and maintenance of databases in the general ledger, sales and customer management systems;

  • Assist Controller with financial audit preparations;

  • Assist Controller and CFO with budget development and monitoring, including quarterly variance assessments;

  • Liaison with all Department budget managers for any and all financial issues, including system training, budget support, transaction research and support;

  • Create reports and queries in the point of sale (POS) system and perform analysis;

  • Records archive management of payroll, monthly financial statements, audit records and the annual budget 

  • Facilitate and liaison with Human Resources for bi-weekly payroll by assembling employee information and providing to third party payroll vendor

  • Conduct internal audit of payroll related components such as: pay codes and deduction codes have appropriate taxation; prematurely calculate social security tax, Medicare tax, 401K match and reviewed against the third party vendor’s calculations; and overall payroll is reviewed and analyzed against the annual budget

  • Analyze and gather information required for reporting on the books of the organization and prepare the biweekly payroll, payroll accrual and vacation accrual journal entries:

  • Review employee payroll details for the quarter/year to ensure information for Form 941s and Form W-2s reporting is complete

  • In the absences of the Controller, the Assistance Controller will act and take care of the responsibilities of the Controller 

  • Promote the mission of the Zoo;

  • Perform other duties as assigned; and,

  • Adhere to all policies and procedures of the Zoo.


Communication (Internal and External):
  • Responsible for providing assistance to budget preparers, reviewing budget submissions, and communicating approved budgets to all departments;

  • Complete all necessary paperwork related to funding and ensure the collection and remittance of all draw requests for appropriate capital projects; and,

  • Respond to inquiries from vendors, customers, and employees in a professional and timely manner.


Management of Resources (financial, human resources, facilities):
  • Meet guidelines of the Cash Discrepancy Policy on a consistent basis;

  • Ensure PCI compliance is met;

  • Use GAAP guidelines for preparation of financial statements; and,

  • Train new staff as directed by the Controller.

Minimum Qualifications: Hospitality:
  • Friendly and outgoing;

  • Possess a positive and patient attitude; and,

  • Possess excellent verbal communication skills as well as writing and math skills (i.e. addition, subtraction, multiplication, division, and percentages).


Education:
  • Bachelor’s degree in Business or Accounting required.


Experience/Training:
  • Minimum of three years of accounting experience with familiarity of the general ledger system;

  • Proficiency with Microsoft Office software, including Microsoft Outlook, Excel, and Word and Navision accounting software and,

  • Experience with bank reconciliations, VLOOKUP, pivot tables, and account analyses.

  • Experience in a non-profit setting preferred

Equipment:
  • Must be able to operate a variety of office machines and equipment including two-way radio, computer, telephone, scanner, copier, fax, golf cart, and calculator.


Working Conditions:
  • Must be able to remain active for an eight hour shift;

  • Must be able to sit upright for long periods of time;

  • Must be able to walk large areas of the Zoo as needed;

  • Must be able to work in an outdoor weather environment in all seasons and weather, including heat/humidity, cold temperatures, and/or wet conditions;

  • Ability to work a flexible schedule to include weekends, holidays, and special events; and,

  • Must be able to exert up to 35 pounds of force to lift, push, pull, carry, or otherwise move objects.
