Regional Operations Manager

A Regional Operations Manager (ROM) is responsible for the overall profit/loss of their assigned JVs. To achieve success, they will support JV Managers through measurable accountability. Specific job functions and requirements of a ROM are listed below and fall into 4 overarching buckets:

·        Business Management

·        JV Team Relations

·        Partner Relations

·        Reporting.

It is expected that all duties and functions will be done in an ethical manner while maintaining our core values of integrity, trust, respect & commitment.

Job Requirements and Functions

Business Management

a.      Responsibility for achieving total assigned regional profits as set forth and agreed to in the budgeting process. Annual ROM performance will be judged on the YOY Profit Growth or Loss in their assigned JVs.

b.      Measure application and closing trends weekly.

c.      Understand and monitor company breakeven.

d.      Monitor income statements monthly. Review expenses and make adjustments as necessary. In addition, review Controller’s monthly report. For all operations falling 10% below budget or more, craft an executable plan to bring the office back on track.

e.      Review YOY comparison for applications, closings and revenue. For all discrepancies of 10% or more, craft an action plan for resolution. Any office who fails to achieve budgeted applications for 2 consecutive months will go on a Performance Improvement Plan.

f.       Creation of annual budget (apps, closings, staffing, new expenses).

g.      Creation of annual goals (apps, closings, revenue, profit).

h.      Communicate budget/goals/expectations to JVM and hold them accountable for achievement.

i.       Present company/branch retention of 92% is required.

j.       New Office Set Up Responsibilities

                                                    i.     Collect Master Lease and provide to Compliance.

                                                   ii.     Physically set up office (furniture, supplies etc). Assure office has all facility services required.

                                                  iii.     Attend Agent Presentations & Focus Groups.

                                                  iv.     Weekly or biweekly (depending on proximity) in person visits for first 9 months of operation (or until profitable).

                                                   v.     All other JV Start Up Duties, as assigned.

                                                  vi.     Create templates in RQ with proper accounting codes. Assure use in the offices.

JV Team Relations

a.      Regional JV Manager Group Meetings/Trainings (no less than 2 x year).

b.      Regional JV Manager Group Calls to be held monthly focusing on strategy.

c.      Weekly Individual JV Manager Success Tracker Meetings (30 min with each JV Manager).

d.      Participate in Panel Interview Process.

e.      Recommendations for personnel changes to Supervisor before changes made.

f.       Conducting reviews (ideally quarterly no less than semiannually) and completion of bonus rubric.

g.      Physically meet all new JV Managers on their first day of employment.

h.      Mentor & coach JV Managers.

i.       Conduct Manager Training per Learning & Development Guidelines.

j.       Develop a schedule for office visitation monthly at a minimum unless directed by your supervisor. 

k.      Assure staffing is in line with company hours per file, regional limitations and in alignment with office production.

l.       Maintain turnover 

m.    Weekly One on Ones with direct supervisor.

Partner Relations

a.      Assure weekly investor updates from JV Managers are sent. Failure to do so for 2 consecutive weeks results in Performance Improvement Plan for JV Managers.

b.      Prepare and distribute Partner Meeting Agendas.

c.      Assure Partner Meetings are properly scheduled and agents invited. 

d.      Record and post Partner Meeting Minutes in TA Connections.

e.      Collect and manage attendee list at Partner Meetings and post in TA Connections.

f.       Resolve escalated agent issues.

g.      Monthly in person meetings with Class 2 Partners until profitability achieved.

h.      Lead or attend quarterly Partner Meetings as designated by your supervisor.

i.       Send monthly email updates to all Class 1&2 investors.

j.       Conduct, as designated, SEC Offerings for new Class 1 Investors in conjunction with Compliance and Sales.
