ABOUT AAFSC:

The Arab-American Family Support Center (AAFSC) is a non-profit, non-sectarian organization established in 1994 to provide culturally and linguistically competent, trauma-informed social services. Across our eight locations, we empower immigrants and refugees with the tools they need to successfully acclimate to the world around them and become active participants in the community. While we support anyone who walks through our doors, over nearly 25 years, we have developed expertise in serving the Arab, Middle Eastern, Muslim, and South Asian (AMEMSA) immigrant and refugee communities.

AAFSC works across four priority areas—Promote, Get Ready, Prevent, and Communicate—to achieve our ultimate goal of strengthening families. AAFSC promotes mental and physical wellbeing, food security, healthy relationships, and family reunification. We get our families ready to succeed, work, and lead productive lives. We prevent domestic violence, child abuse, and neglect by counseling families, offering case management services to victims of violence, and cultivating healthy relationship skills in young people. Finally, AAFSC communicates the needs of the marginalized, amplifying their voices for increased impact.

JOB SUMMARY:

The Data Manager provides support for the Arab-American Family Support Center’s data management, quality assurance, and reporting needs. The Data Manager’s primary responsibility is the administration, oversight, and management of program databases and datasets. This position supports all aspects of AAFSC’s data ecosystem, including monitoring data collection processes, managing a high-quality internal CRM, maintaining the processes by which data is synthesized and communicated internally and externally, and supporting AAFSC staff who interact with the data systems. This role is also responsible for maintaining robust quality assurance protocols, ensuring that the data collected and used at AAFSC is of the highest quality and integrity and meets agency needs.

In addition to overseeing day-to-day database administration, quality assurance, and staff support, the Data Manager will provide support to AAFSC’s reporting needs. This position will coordinate with AAFSC’s Associate Director of Resource Development & Impact Evaluation to ensure that data is synthesized, analyzed, and communicated to parties inside and outside the agency to maximum effect. The Data Manager supports the creation and distribution of internal reports used for program and impact monitoring, as well as the production of external reports that communicate the effectiveness of AAFSC’s programs to external funders and stakeholders. A successful Data Manager will contribute significantly to AAFSC’s ability to analyze and communicate our data with sophistication and in a manner that effectively tells the story of AAFSC. Integral to this role will be a keenness to integrate new and enhanced methods of collecting, analyzing, and visualizing data to this effect, and will have competence navigating new technologies and platforms.

The person in this role will be organized, have high attention to detail, maintain confidentiality, and act with the utmost discretion to support AAFSC’s priority areas. A successful Data Manager must be able to learn new systems quickly, solve problems creatively, communicate effectively with individuals at all levels of data literacy, and self-manage multiple priorities comfortably. A commitment to immigrant, refugee, and low-income communities is essential for this role.

Essential Duties and Responsibilities:

Database Management & Quality Assurance:

·       Manage and oversee all internal data collection and migration operations across AAFSC’s complementary suite of programs, providing support to the agency’s manual and automated data processes and resolving issues as needed.

·       Manage AAFSC’s internal Constituent Relationship Management (CRM) system to ensure all program data is complete, accurate, clean, and up to date.

·       Develop and manage a schedule of quality assurance activities across all agency programs to identify data quality and data integrity issues.

·       Design and build custom reports in databases for quality assurance purposes. 

·       Proactively identify and implement opportunities for data collection and data process improvements to maximize data quality/integrity and manage evolving programmatic and reporting needs.

·       Document data quality standards and quality assurance processes.

 

Reporting Maintenance:

Internal Reporting

·       Regularly create and distribute a suite of comprehensive, clear, and effective internal reports across all agency programs.

·       In collaboration with Associate Director of Resource Development & Impact Evaluation and agency leadership, design and create new reports to address gaps in inter-agency data communication.

·       Proactively identify opportunities to enhance the sophistication of internal data communication, including through the use of enhanced analysis, inferential statistics, data visualizations, etc.

External Reporting

·       Support the Resource Development team in synthesizing, organizing, and communicating program data for use in high-quality, compelling, and data-driven grant proposals and reports.

·       In collaboration with the Associate Director of Resource Development & Impact Evaluation and the Resource Development team, identify and respond to gaps in our external reporting processes and implement new data collection methods as appropriate.

·       Actively participate in and influence discussions around how data can be used to tell the story of AAFSC and communicate its impact.

·       Collaborate with the Resource Development team and program leadership to ensure that data is used to manage program outputs and outcomes against funder requirements.

·       Manage internal data collection and processes and activities such that they support a robust internal and external reporting system.

 

Strategic Quality Improvement:

·       Proactively identify opportunities to improve quality and efficiency of agency data systems and collaborate with the Associate Director of Resource Development & Impact Evaluation to design and implement improvements.

·       Proactively identify opportunities to leverage new technologies and systems across agency priorities areas to enhance the methods by which AAFSC collects, manages, and leverages agency data towards long-term sustainability.

·       Proactively identify opportunities to leverage new data processing and analytical techniques to communicate data insights both internally and externally.

·       Actively participate in and influence internal discussions around internal data consumption, strategic data communication, and continuous quality improvement.

 

Staff Support and Training:

·       Provide ongoing training and support to staff on data collection and quality assurance activities.

·       Oversee account management activities and provide technical support to end-users of all program databases and systems.

·       Liaise with database software vendor staff to report and resolve system issues and bugs.

·       Coordinate with the Training & Technical Assistance Manager to ensure all staff are trained effectively in the basics of data collection and entry.

·       Provide enhanced support and training to database end-users to ensure process continuity and fidelity.

·       Develop, implement and enforce data management and security policies using industry best-practices.

·       Support the development of a “Data Culture” within the organization, where the importance and value of data and the processes by which it is collected and used are appreciated by all and prioritized in everyday work.

 

Ambassador & Champion

·       Every AAFSC team member serves as an ambassador of the organization and champion of AAFSC’s mission, vision and values. This includes the following:

o   Cultivate relationships on behalf of and in support of the organization in partnership with Senior Leadership and the Development & Communications team. This includes being sensitive to and aware of others, providing every client, partner and participant with high-quality service, professional communication, and follow through, and always keeping Senior Leadership and the Development & Communications team aware of any opportunities, challenges, or updates.  

o   All team members are expected to support the Development and Communications team with any requests in a timely manner, including, but not limited to: grant applications, reports, attendance at meetings, hearings, or other events, and sharing of AAFSC social media, flyers, and other externally-facing communications.

o   Always act with integrity, positivity, dedication, and professionalism within the office and externally. This includes, but is not limited to, email communication, verbal communication, communication with colleagues and peers, communication with clients, or communication with external partners or agencies.

 

Other duties and responsibilities

·       Participate in AAFSC meetings and internal and external trainings.

·       Perform other duties as assigned.

BACKGROUND AND POSITION REQUIREMENTS

·       Bachelor’s degree in the computer science, data science, statistics, computer engineering, or a related field required; Master’s degree preferred.

·       At least 2-3 years of experience in Data Management, preferably in a non-profit setting.

·       Track record of improving data systems through the use of effective and efficient quality assurance practices.

·       Experience designing reports, synthesizing and analyzing data, and producing data visuals.

·       Knowledge of and experience managing data security and confidentiality standards is a plus.

·       Strong computer skills and proficiency with technology including Microsoft Office products, CRMs, and datasets.

·       Passion for learning, problem-solving, and continuous improvement.

·       Excellent written and verbal communication skills, including with team-members who have varying levels of data literacy. 

·       Excellent organizational, time-management, follow-up, and administrative skills with a strong attention to detail.

·       Self-starter with the ability to work independently, and as part of a team, in a fast-paced deadline-driven environment.

·       Must be able to maintain client confidentiality.

·       Passion for AAFSC’s mission and vision.

·       Job contingent on pre-employment background check and fingerprint clearance.

·       U.S. Work Authorization is required.
