Position Overview

The Child and Youth Programs Administrator is responsible for accounts administration across child and youth programs. The Child and Youth Administrator will report directly to the Child and Youth Program Director.

This position requires strong skills in customer service, conflict management, organization, oral and written communication, and proactive decision-making. The candidate must enjoy working with the general public, possess excellent attention to detail, demonstrate exceptional computer skills, and show success in a fast-paced, changing environment with the ability to multi-task and work collaboratively.

Responsibilities:

  • Manage database for all program registrant changes, additions, and deletions
  • Use spreadsheets to report monthly totals to the Child and Youth Program Director
  • Manage monthly/weekly registration roster for programs
  • Prepare NSF and decline spreadsheets for delinquent payments and contact account holders
  • Prepare monthly invoices to families and handle social services billing as necessary
  • Manage email inbox and phone calls, providing professional communication with program registrants and addressing general inquiries
  • Other duties assigned by the Child and Youth Program Director as required

Requirements:

  • Proficiency in Microsoft Word and Excel
  • Experience in databasing, balancing, and invoicing
  • Strong communication skills with great attention to detail
  • Ability to think on the spot and problem solve
  • Exceptional customer service attitude
  • Ability to meet deadlines
  • Resourceful, organized, and excellent time management skills
  • Flexible and receptive to change

Work Schedule:

This position offers 30-40 hours per week, with flexibility based on applicant availability.
