REPORTS TO: Director, Human Resources

LOCATION:
Pointe-Claire, QC (Montreal) / Hybrid Work Model

 

POSITION SUMMARY

The Office Engagement Coordinator is a dynamic, people-focused role designed to foster a thriving, connected, and engaging workplace environment at Mint Green Group. Reporting to the HR Director, this role blends office coordination, employee engagement, and HR support. The ideal candidate brings positive energy, takes initiative, and has a genuine passion for creating an exceptional employee experience; both in-person and remotely.

This early-career position is ideal for someone looking to build a career in Human Resources while contributing directly to the culture, operations, and day-to-day engagement of our growing team.

 

ESSENTIAL FUNCTIONS

Office Operations & Administration

  • Ensure the office environment is welcoming, organized, and fully stocked with necessary supplies (kitchen, coffee, supplies etc.).
  • Manage office supply inventory, vendor orders, and coordinate maintenance or service requests as needed.
  • Oversee kitchen and fridge stocking and replenishment to maintain a high standard of office presentation.
  • Coordinate logistics for internal meetings and events, including catering and room setup.
  • Administer select executive administrative tasks (insurance reimbursements, Rogers plan, expense submissions).

Employee Engagement & Culture

  • Lead the company’s Engagement Calendar, including on-site and remote activities.
  • Plan and execute employee engagement events such as Lunch & Learns, holiday celebrations, wellness initiatives, and retirement gatherings.
  • Co-lead the planning of large-scale company events, such as the Mint Green Olympics.
  • Champion inclusion, recognition, and wellness initiatives that strengthen company culture.
  • Act as the liaison for the Employee Engagement Committee, driving creative ideas to build team spirit and translating them into action.

HR Support & Coordination

  • Assist the HR Director with administrative tasks and HR initiatives.
  • Support recruitment activities, including posting jobs, scheduling interviews, screening candidates, and conducting reference checks.
  • Help organize and communicate training, learning, and development opportunities.
  • Prepare internal communications, including company-wide announcements and engagement updates.
  • Maintain confidentiality and professionalism in all HR and employee matters.

Other

  • Pick up supplies or coordinate small purchases as required.
  • Provide executive or administrative support to the Senior Leadership Team as needed.
  • Perform other related duties as assigned.

 

SKILLS & EXPERIENCE

  • 1-2 years of experience in office administration, executive assistance, or human resources.
  • Bachelor’s degree in Human Relations, Human Resources, Business Administration, or related field will be preferred.
  • Strong interpersonal and communication skills, with a natural ability to connect with others.
  • Strong professional writing skills, with the ability to craft clear and engaging internal communications.
  • Intermediate Excel skills and proficiency with technology, data tracking, and digital tools.
  • Positive, hands-on, and solutions-oriented attitude.
  • Exceptional organizational and time management abilities, with attention to detail.
  • Interest in growing a career in Human Resources and workplace engagement.
  • Proficiency in Microsoft Office Suite and collaboration tools (e.g., Teams, Outlook, Excel).
  • Ability to handle confidential information with discretion.
