Summary of Duties:

Reporting to the Operations Manager, the Receptionist is responsible for creating a welcoming environment and providing administrative support across various departments with a focus on clients first. The role involves greeting visitors, answering inquiries, and performing a variety of office tasks to ensure smooth operations.

Key Deliverables and Expectations:

  • Greet visitors and create a positive, welcoming atmosphere
  • Answer multi-line telephone, greet callers, and assist with inquiries
  • Review and manage incoming and outgoing electronic communications in a timely manner
  • Screen, sort, scan, and distribute incoming and outgoing mail
  • Coordinate meeting room bookings and set up as required (following Program Plan details)
  • Assist clients with completing forms, either electronically or in hard copy
  • Ensure all office equipment is functioning properly and place service calls when necessary
  • Maintain a clean, safe, and professional office environment at all times
  • Provide administrative support to teams as needed and requested by the Health & Healing Operations Manager
  • Perform other related duties as assigned by the Health & Healing Operations Manager
Experience and Attributes: 

  • Completion of Grade 12 or an equivalent combination of education, training, and experience
  • Training or certification in reception, office administration, or a related field
  • Outstanding written and verbal communication skills in English
  • Ability to work both independently and collaboratively as part of various teams
  • Strong organizational skills with a keen attention to detail and excellent time management abilities
  • Capable of meeting deadlines, prioritizing tasks, managing multiple responsibilities simultaneously, and maintaining confidentiality
  • Strong proficiency in Microsoft Word, Outlook, Excel, and PowerPoint
  • Motivated self-starter and with strong interpersonal skills
  • Highly professional in all aspects of business, presentation and interaction with all stakeholders, clients, and Members
  • Knowledge and interest in Lil’wat Nation territory, culture, and history an asset
  • Must be able to provide a clear Criminal Record Check, including the Vulnerable Sector
