Pay grid: Front Line ($17.85 to $20.90 per hour)
Reporting to: Operations Manager
Summary of Duties:
Reporting to the Operations Manager, the Receptionist is responsible for creating a welcoming environment and providing administrative support across various departments with a focus on clients first. The role involves greeting visitors, answering inquiries, and performing a variety of office tasks to ensure smooth operations.
Key Deliverables and Expectations:
- Greet visitors and create a positive, welcoming atmosphere
- Answer multi-line telephone, greet callers, and assist with inquiries
- Review and manage incoming and outgoing electronic communications in a timely manner
- Screen, sort, scan, and distribute incoming and outgoing mail
- Coordinate meeting room bookings and set up as required (following Program Plan details)
- Assist clients with completing forms, either electronically or in hard copy
- Ensure all office equipment is functioning properly and place service calls when necessary
- Maintain a clean, safe, and professional office environment at all times
- Provide administrative support to teams as needed and requested by the Health & Healing Operations Manager
- Perform other related duties as assigned by the Health & Healing Operations Manager
Experience and Attributes:
- Completion of Grade 12 or an equivalent combination of education, training, and experience
- Training or certification in reception, office administration, or a related field
- Outstanding written and verbal communication skills in English
- Ability to work both independently and collaboratively as part of various teams
- Strong organizational skills with a keen attention to detail and excellent time management abilities
- Capable of meeting deadlines, prioritizing tasks, managing multiple responsibilities simultaneously, and maintaining confidentiality
- Strong proficiency in Microsoft Word, Outlook, Excel, and PowerPoint
- Motivated self-starter and with strong interpersonal skills
- Highly professional in all aspects of business, presentation and interaction with all stakeholders, clients, and Members
- Knowledge and interest in Lil’wat Nation territory, culture, and history an asset
- Must be able to provide a clear Criminal Record Check, including the Vulnerable Sector
