What You’ll Do
- Support the Manager of Procurement with day-to-day procurement administration, including vendor onboarding, purchase orders, and record keeping.
- Process work orders from start to finish, while ensuring proper scope, approvals, and documentation before work begins.
- Review and validate invoices to confirm they match approved pricing, scopes, and completed work.
- Help maintain our Preferred Vendor Program by tracking performance and ensuring compliance.
- Use Yardi, HappyCo, and VendorPM systems to keep data accurate, up-to-date, and easy to report on.
- Collaborate with the procurement, facilities, accounting, and site teams to keep everything running efficiently and compliantly.
- Assist with market benchmarking, contract documentation, and support for capital projects and insurance claims.
What You Bring
- 1–2 years of experience in procurement administration, accounts payable, vendor coordination, or similar administrative support roles (residential property management or real estate experience is an asset; we will also consider equivalent education and practical experience).
- Strong organizational skills with a keen eye for detail and accuracy.
- Experience with property management software such as Yardi is preferred, along with solid Microsoft Office skills; willingness to learn HappyCo, VendorPM, and other platforms is important (training will be provided).
- Basic understanding of procurement processes, invoice validation, and vendor compliance (we are happy to train motivated candidates).
- Excellent communication skills and a collaborative, team-oriented approach.
- Post-secondary education in Business Administration, Supply Chain, or a related field is preferred, but we welcome candidates with equivalent practical experience.
- High integrity, reliability, and alignment with Zen Residential’s values of excellence and innovation.
- Valid driver’s licence and willingness to occasionally travel to properties within the portfolio.
