Under direct and indirect supervision, assists in providing administrative, data management, and reporting support for clinic operations. The position ensures compliance with UMB and HRSA requirements and supports grant-related activities for the Ryan White Programs. The individual will assume responsibility for managing and supervising clinic operations when the Director is absent, ensuring continuity of services, oversight of staff, and adherence to clinic policies and procedures.

Key Duties and Responsibilities

  • Ensure compliance with UMB and HRSA policies and procedures
  • Create data collection reports for clinic operations in UMB, School of Dentistry software program
  • Assess and approve necessary client data to determine eligibility for grant services and update annually
  • Ensure all required data elements are accurately documented
  • Submitting various grant required reports into Baltimore City’s HRSA CAREWare system effectively for data management and reporting for the Ryan White Program
  • Maintain and update statistical data such as grant required performance measures, oral health care services provided, and outcome of interventions
  • Assist in resolving insurance, billing and aging accounts receivable
  • Meet grant deadlines for monthly, quarterly and yearly deliverables
  • Develop strategies for Clinic Quality Management projects and attend committee meetings
  • Assist in problem-solving and continuous clinic improvement
  • Collect and present grant required data for fiscal annual audits
  • Creates professional letter templates for communicating changes in the PLUS CLINIC using patient -friendly language aligned with healthcare communication best practices that can be customized.
  • Assists with review of EHR documentation to ensure compliance with regulatory requirements, internal policies, and documentation standards, identifying discrepancies and recommending corrections as needed.
  •  Assists with procurement of clinic supplies/ clinical equipment/ office supplies/ Testing kits for clinic and HIV testing.
  • The individual will be responsible for tracking the use of funds and managing referral records.

This includes documentation of expenditures, logging referrals into chart and be able to retrievable for data, monitoring referral status, following up as needed and ensuring all information is recorded accurately and on time. he person will be responsible for tracking the use of funds and managing referral records.  Qualifications (optional)

  • Education: Bachelor’s degree preferred
  • Experience: Experience in dental or healthcare, grant administration, data management or clinic operations preferred
  • Skills:
    • Strong attention to detail and data accuracy
    • Knowledge of excel and data reporting software
    • Organizational and time management skills
    • Ability to work independently and collaboratively
    • Demonstrated ability to manage multiple projects and consistently meet deadlines
    • Demonstrated ability to create clear, well-structured documents for professional and healthcare audiences.
