About the Opportunity
We are looking for an experienced and highly organized Marketing Project Manager to lead the planning, coordination, and delivery of marketing projects across the organization. This role ensures marketing initiatives — from campaigns to creative production to cross‑department projects — are delivered on time, on budget, and with excellence. This role is essential to bringing structure, clarity, and follow-through to maintain momentum and accountability across the marketing portfolio.

What’s the job?
Your responsibilities as the Project Manager will include:
1. Project Intake, Planning & Delivery Leadership
Centralizes and evaluates incoming marketing project requests, ensuring clear scope, prioritization, and authorization based on priorities and capacity..
Builds project plans with timelines, milestones, dependencies, and expectations.
Coordinates capacity and availability across Creative, Digital, Product, Events, Media, Broadcast, and French Ministry teams.
Leads project kickoffs, reviews, and milestone meetings; manages delivery through project management tools.
Identifies risks, schedule variances, and constraints, escalating issues with recommended solutions.
Ensure smooth handoffs and maintain momentum across multiple concurrent projects.
Note: Oversees delivery planning and execution—not creative or strategic development.
2. Cross‑Functional Project & Portfolio Management
Leads intake, planning, and scheduling for major initiatives such as marketing/fundraising campaigns, program support, product marketing, events, digital and multimedia deliverables, publications, and French Ministry campaigns.
Coordinates execution across marketing and ministry teams to ensure sequencing, alignment, and on‑time delivery.
Maintains portfolio visibility across workloads, timelines, dependencies, and capacity constraints within the department.
Manages end‑to‑end delivery timelines and recommends project sequencing and resource allocation; final approvals rest with the CMO.
Ensures marketing commitments to organization‑wide initiatives are realistic and achievable.
Facilitates weekly project‑management huddles (stand-up meetings) to review timelines, surface risks, manage capacity, and drive accountability.
3. Stakeholder, Vendor & Partner Coordination
Acts as the central point of contact for project status, timelines, risks, and dependencies.
Coordinates with internal teams and external vendors/agencies to align deliverables and expectations.
Supports vendor selection and onboarding with department leadership.
Monitors resource usage and flags delays, scope changes, or risks.
Oversees cost tracking for production activities and manages POs and invoices.
Maintains organized project documentation, archives and production records.
4. Administration & Documentation Management
Maintains accurate project documentation across all marketing initiatives, including plans, briefs, approvals, contracts, and schedules.
Ensures consistent documentation standards and traceability from intake to completion.
Manages administrative workflows tied to finance processes—POs, invoices, contracts, and vendor documentation.
Ensures project management systems and shared drives reflect up‑to‑date project status.
Supports auditability through clear documentation of decisions, expenses, approvals, and timelines.
Establish and enforce documentation standards and best practices to support efficient project delivery and knowledge sharing across the department.
5. Process Improvement & Project Excellence
Develops, refines, and documents project management processes and workflows for the department.
Helps create and implement standardized tools such as intake forms, plans, dashboards, and reporting templates.
Promotes consistent project management practices across Marketing & Communications.
Identifies opportunities for improved efficiency, clarity, delivery quality, and cross‑team collaboration.
About You:
Minimum 3-5 years’ experience in project management, marketing operations or related field, with demonstrated responsibility for complex, multi-stakeholder projects.
Proven experience managing high volumes of concurrent projects with competing priorities, timelines, and dependencies.
Strong administrative and organizational skills, with demonstrated comfort working extensively in project management software and tracking systems.
Advanced proficiency in Microsoft Office, particularly Excel, for tracking schedules, budgets, and resource allocation; experience with project management tools required.
Experience developing, implementing, and maintaining project management processes and systems.
Demonstrated ability to manage budgets, track costs, and operate within financial constraints.
Experience coordinating people, processes, and vendors across multiple teams or functions, with confidence to exercise appropriate authority.
Ability to operate effectively in a fast-paced, deadline-driven environment.
Strong verbal and written communication skills, with the ability to be clear and decisive.
Experience within a non-profit or ministry context is considered an asset.
