Database Administrator - Full Time

Reporting jointly to the Director of Philanthropy and the Manager of Finance, the Database Administrator is responsible for ensuring that donor and donation records are entered/updated with high accuracy in the donor database. The role includes ensuring that gifts and data are entered in the system according to CRA standards and principles that will guarantee the integrity of the database, and the accuracy of the information entered.  

This position is a key player of the Fund Development team. The incumbent will demonstrate administrative efficiency and accuracy as well as a strong commitment to the Donor Bill of Rights and provide customer service to donors inquiring about their donations. This position is critical for building and maintaining trust with our community of supporters. This role also liaises with the Finance Department to ensure the accuracy and timeliness of financial reporting. 

Primary Responsibilities:  

  • Manage donor phone calls and email inquiries 
  • Update and create new donor records as required to ensure accuracy and cleanliness of database 
  • Ensure accuracy of donor information in CRM 
  • Accurately process daily donations  
  • Responsible for the timely and accurate distribution of all donor tax receipts 
  • Liaise with the Finance department to reconcile revenue and work collaboratively to address discrepancies 
  • Develop efficiencies in Raisers Edge NXT for database management and donor stewardship 
  • Manage segmentation and execution of donor lists for fundraising campaigns and events 
  • Coordinate volunteers and/or staff when assistance is required for data entry 
  • Assist in the development and implementation of all fundraising initiatives as required 
  • Other duties as assigned to provide support to the Fund Development team including but not limited to attending CHS events and third-party fundraising events  
  • Occasionally assist with Animal Care duties when extra support is required 

 

Position Requirements: 

  • Blackbaud Raisers Edge NXT database experience is mandatory, including skills with higher-level functions such as queries and exports 
  • Relevant degree or diploma, ideally in fundraising or non-profit management would be considered an asset 
  • At least 2 years of progressive client and/or customer service experience in an organization would be considered an asset 
  • CFRE designation considered an asset 
  • Commitment to and understanding of the Donor Bill of Rights 
  • Strong organizational and time-management skills, attention to detail and accuracy 
  • Ability to multi-task, prioritize, work under pressure and meet deadlines 
  • Ability to work both independently and as part of a team 
  • Must be able to deal with frequent interruptions in a cooperative and professional manner 
  • Strong telephone and email customer service skills 
  • Takes initiative with new projects and ideas 
  • Open to learning and development, and be willing to accept new challenges and assignments 
  • Ability to attend CHS events outside of normal work hours including some evenings and weekends when required  
  • Able to use discretion while dealing with confidential data 
  • Physically capable of and comfortable handling a variety of species including but not limited to: cats, dogs, rabbits, birds, rodents, and reptiles 
  • Genuine interest in the welfare of animals and values congruent with the organization 
  • Successful candidate will be required to provide a criminal record check at their own expense, to be arranged by CHS
