Director of Admissions
Job Summary
The Director of Admissions is responsible for all on-site, non-clinical needs related to processing new admissions. The Director of Admissions will develop communications flow within the facility for admissions and census development while working closely with external marketing team and referral sources. The Director of Admissions will work in conjunction with the Director of Nurse Case Management to ensure appropriate resident placement and maintain budgeted census and case mix.

As the Director of Admissions, you are delegated the administrative authority, responsibility, and accountability necessary for carrying out your assigned duties.

Duties and Responsibilities
- Oversee the admissions, discharges and transfers of residents to ensure effective and efficient utilization of the facility’s beds; which entails tracking the flow of resident information and record keeping from beginning to end; ensure resident’s screening is done courteously and efficiently so that the resident gets to the unit expeditiously
- Plan, organize, coordinate and supervise office personnel activities to achieve the highest level of effectiveness in discharging the following primary functions:
- Act as liaison with resident families and facility staff upon admission to the facility to ensure smooth transition from the community or hospital setting.
- Engage all necessary disciplines to assure a fluid transition to the facility.
- Convey the resident’s information flow to the nursing and medical departments, verify insurance information.
- Develop and maintain contacts with discharge planners in the hospitals for potential admissions
- Implement and supervise admitting procedures as established by the Administrator and Department of Health regulations. Example: A priority admission schedule is determined on the basis of a review of PRI, financial information, and appropriate bed availability.
- Design, maintain and update the department’s Policy and Procedure Manual to properly guide Admitting staff
- Establish and coordinate with nursing and related departments the procedure for Advance notice of admission and discharge to achieve maximum bed use
- Ensure the accurate completion of all financial forms relating to the pre-admission and admitting procedures
- Coordinate the channeling of accurate admitting information to the interactive matrix connecting all Departments.
- Responsible for daily interaction with internal and external customers. Maintain daily interaction with residents and families.
- Prepare and submit reports to Admission Committee on a monthly basis
- Maintain an accurate and current system (wall manual “bed board”) showing all occupied beds and vacant beds. (The system should reflect anticipated discharges, transfers, bed terminations, etc.)
- Communicate with hospitals to determine discharge status of hospitalized residents
- Obtain necessary documents from the hospitals regarding rehabilitation services, IV information, etc. and disseminates to appropriate departments
- Act as liaison with facility Pharmacy to resolve issues with Part D resident drug plans regarding prior approvals and follow-up. Address prior approvals as needed to submit to the proper drug plans for approval or additional follow-up. Work collaboratively with the Department of Medicine to address the needs for pre-authorization for medications ordered. The need to submit paperwork for prior approvals is orchestrated with the physician and the insurance companies via fax.
Committee Functions
- Participate in scheduled facility Committee meetings as directed by Supervisor
Personnel Functions
- Perform all assigned tasks in accordance with established policies and procedures, and as instructed by your Supervisor
- Follow work assignments, and/or work schedules in completing and performing your assigned tasks
- Create and maintain an atmosphere of warmth, personal interest and positive emphasis, as well as a calm environment
Staff Development
- Attend and participate in scheduled training and educational classes. Attend and participate in scheduled orientation programs and activities
- Attend and participate in annual OSHA and CDC in-service training programs for hazard communication, TB management, and bloodborne pathogens standard
Safety and Sanitation
Adhere to and implement all facility safety and infection control policies
Resident Rights
Maintain residents’ confidentiality; treat residents with kindness, dignity and respect. Know and comply with Resident’s Rights rules.
Working Conditions
- Works in entrance area as well as throughout the facility and its premises
- Moves intermittently during working hours
- Subject to frequent interruptions
- Subject to call back during emergency conditions, etc. severe weather, evacuation, post-disaster
- May be involved with residents, family members, personnel, visitors, government agencies/personnel, etc., under all conditions/ circumstances
Education
- Must possess, as a minimum, a high school diploma or its equivalent
Experience
- Experience with insurance verification and authorization processes preferred
- Previous experience in a Skilled Nursing Facility is preferred
- Computer, copy machine, fax machine, label maker, Medicaid verification system
Specific Requirements
- Must possess the ability to make independent decisions when circumstances warrant such action
- Must possess the ability to deal tactfully with personnel, residents, family members, visitors, government agencies/personnel, and the general public
- Must possess the ability and willingness to work harmoniously with other personnel
- Must have patience, tact, a cheerful disposition and enthusiasm
